Job Description

• Manning of General office counter during school office hours
• Provide support in administrative work that include simple sorting of documents, filing and data entry
• Render first aid to injured students coming to the General office
• Any other administrative tasks assigned by the Administration Manager and school leaders.

Requirements

• GCE ‘O’ Level certification
• 2 years’ experience in similar receptionist or counter jobs working in a Primary school context.
• Basic knowledge in computer skills, such as Microsoft Word and Microsoft Excel

Working hours

• Mondays to Thursdays: 8:30am to 5:45pm, inclusive of 45 minutes lunch break
• Fridays: 8:30am to 5:15pm, inclusive of 45 minutes lunch break

Job Description

Main Duty - Customer Service

• Handle customer service duties by answering phone calls, managing visitors, taking messages, responding to inquiries, and providing general information in a dynamic, high-volume environment.
• Use the school’s IT system for administrative purposes.
• Handle daily queries from parents, students, vendors, and staff.
• Call pupils’ absentees every morning to check on their status with parents.
• Contact pupils to convey messages during ad-hoc or special events.
• Provide first-level assistance to walk-in students, especially sick or injured students, and escalate cases when necessary.
• Handle situations where students vomit or soil their clothes and provide appropriate support.

General Duties

• Assist in canteen matters, FAS applications, arrears fees, bus bookings, etc.
• Update the school activity notice board in the office, ensuring data accuracy.
• Maintain the office forms cabinet, ensuring all forms are up-to-date and replenished.
• Provide general typing support as needed.
• Assist in Stores supplies management during school holidays.
• Support other general administrative duties as required.

Job Requirement

Qualifications:

• Full GCE ‘N’ or ‘O’ Level certificate or its equivalent.

Skills and Experience:

• Good communication and interpersonal skills, particularly in reception duties, preferably in a school environment.

Dental Assisting

- Providing assistance in all forms of dental procedures to the dental surgeon(s) on duty

- Washing, sterilizing and storing of dental instruments and equipment

- Taking X-rays for patients assessment and treatment planning

- Maintaining the cleanliness and neatness of treatment rooms at all times

- Maintaining the cleanliness of dental instruments and equipment

- Checking and topping up of dental material stocks

- Adhoc duties as assigned by Doctors

Counter Reception

- Attends to all patients’ enquiries for appointments and/or walk-in treatment;

- Patient registration; Discharges patients by dispensing medications (or as required), collecting payments accurately, issuing of MC and/or receipts and scheduling patient for subsequent appointments;

- Drafts claims for CHAS treatments;

- Submits insurance dental claims whenever required;

- Records and files documents in accordance with the clinic’s Standard Operation Procedures (SOPs);

- Keys in sales of dental products in Clinic Management software; Sends, tracks and receives laboratory cases;

- Calls patients to remind them of their subsequent appointment with the clinic whenever required;

- Ensures accurate translation of doctors’ schedule into the Clinic Management software; and

- Maintains the cleanliness and neatness of the clinic.
