Job Description:
Summary:
We are looking for a detailed minded and energetic Administrative Assistant to support Epiq’s contract with the State Court of Singapore. The business is fast-paced and requires high level of organization, communication and administration skills, and the ability to learn the workflow and culture of a niche industry in a short time.
Responsibilities:
Accounts & Finance
- Update designated tracker as request forms come in for transcription wordcount, on‑time delivery (date and time of creation of transcripts) Assist in transcript production & prepare month-end reports Invoicing for State Courts & clients
- Prepare & send invoicing details to Finance team to draft
- Review and confirm invoice details before Finance issue the invoice to State Courts & clients
- Submit invoices via designated platforms if required
- Liaises with clients on invoice status
- Update error notification tracker and track error penalty credit notes to State Courts or clients
- Consolidate all turnsheets and crosscheck transcriber wordcount under State Courts and other work done by State Court team;
- Send consolidated turnsheet and reports to Finance team for charge-backs and payouts. Take on any ad hoc responsibility within the scope of this role as required
Administration
- Ensure transcripts are produced and prepared for release to parties as per due date
- Update turnsheets and assign work to transcribers; merge transcripts and do second level quality checks
- Data entry into the system for the transcription requests
- Send final transcripts to Production and save final transcripts in State Court server
- Undertake transcript amendments
- Attending to case requests from ordering parties (Update Diary, due dates, case summary, case folder etc.) and following up with clients for documents etc.
Requirements:
- 1-2 years of administrative experience is preferred
- O-level or equivalent
- Strong interpersonal and administrative skills
- Attention to detail and able to work on own initiative.
- Works effectively as part of a team, recognizes areas where support is required and offers assistance.
