About the Role

What you will do:

The incumbent oversees IT project management and acts as technical liaison to internal staff, outside vendors, and suppliers for IT issues, activities, development, and maintenance of information systems at Lentor Health.

Scope Of Work

Your essential functions and responsibilities will include but are not limited to:

IT Management

• Responsible for administering and regular maintenance of all existing IT infrastructure such as the network, servers, desktops, laptops, and backups.
• He or she will manage, support, and troubleshoot all hardware and software applications based on all end-user computing systems such as Desktop, Laptop, and handheld devices.
• Maintaining hardware and software inventory records for audit and asset management.
• Installing and configuring computer systems.
• Inputting and tracking IT support cases.

Project Management

• Active participation in IT related projects.
• Assist in gathering and analysing end-user requirements.
• Implement change requests on application enhancements when require.
• Perform UAT, troubleshooting and tests on the required systems to various project stakeholders.
• Provide application support in post implementation and maintenance support for existing systems.
• Monitor project status and prepare project status report to various stakeholders.
• Assist with any other duties related to the IT projects.

• Diploma or degree in Information Technology or equivalent

Your responsibilities primarily revolves

• The coordination of sales meetings with potential clients

Job Summary:

As an Administrative officer, taking charge of TOUCH Ubi Hostel (TUH) and Continual Support Programme (CSP) administration, whose duties include the managing of financial aspects, assisting in ensuring the smooth operations of the centre, supporting staff in volunteer management, supporting clients when necessary, and handling of centre’s facilities and maintenance.

Principal Responsibilities and Duties:

1. Office Administration & Operation

• Update the various SOPs for systematic procedures in the centre, such as claims, new staff orientation, trainee admission, hostel operation etc.
• Manage face-to-face, email and mail correspondences
• Assist the manager in any of the internal or external audits.
• Preparation of note of minute for weekly ops meeting or any other relevant meetings.
• To look into developmental work in areas of office administration, work processes, asset acquisition and other areas aimed at improving operational efficiency and controls
• Manage the fire-safety and relevant safety-measures set by the ministries.
• Manage operations of the centre to ensure smooth running
• Ensure the continuous maintenance of office premises, office equipment and improving facilities wherever necessary
• Manage office supplies and renew stock when required
• Handle staff personnel matters:
• Claims
• Part-timers’ time sheets for salary purposes

2. Trainees’ Management

• Support Lifeskills Coach when necessary
• Support Social Worker in the preparation of the relevant documents & logistics for client’s admission and discharge.
• Update trainees’ records and prepare necessary relevant paperwork
• Support clients in dispensing their meals and daily expenses.
• Assist the Centre Manager, Supervisor and Social Workers on matters pertaining to trainees, including submission of documents to external agencies (e.g. SG Enable, MSF, NCSS, etc.)
• Communicate with caregivers/ guardians on operation of TUH matter that may concern the trainees.

3. Financial Administration

• Update spreadsheets of daily transactions
• Ensure timely collection of training fees and all amounts received from trainees
• Ensure proper bookkeeping of all financial transactions such as official receipts for donations, payments to vendors, etc.
• Process staffs’ petty cash reimbursements and cheque payments to external vendors
• Assist Manager in the preparation of the annual budget
• Review monthly financial reports prepared by Finance for accuracy.
• Review insurance policies and other contracts for office premises and equipment to ensure their adequacy and timeliness

4. Programmes

• Plan and execute centre-based events when necessary
• Be part of the team in planning and executing enrichment/ recreation activities.
• Assist in planning and implementation of Special Needs Group events
• Assist in volunteer coordination, record-keeping and support volunteer-based programme.

Essential Skills and Qualifications:

Job Scope

• Establishes, develops, executes and completes installation records, qualification protocols and validation documentation.
• Conducts routine review of validation or qualification documentation and processes to ensure compliance with internal or regulatory requirements.
• Liaises with internal parties for equipment preventive/corrective maintenance, calibration arrangements, installation, qualification and validation protocol review and approval, processing purchase orders and vendor invoices.
• Tracks equipment/system changes including but not limited to configuration change, access review or documentation update via an appropriate change and problem management system.

Maintenance

• Assist in the management and maintenance of all facilities (swimming pool, spa pool, sauna, gym, squash and tennis courts, playgrounds, patting green, BBQ pits, function room, games room) including car parks, landscape areas and all M&E plants, fixtures and fittings.
• Defect list and fixing date of inspection and closing summary of defect list and appointment dates.

Customer Service/ Public Relation

• Establish and maintain good relationship with subsidiary proprietors and occupiers of the condominium

Purchasing / Work Order

• Raise Contractor Requisition forms for ad hoc plus term contractors.
• Invite quotations for renewal of service contracts
• Prepare proposal / for councils’ approval
• Prepare Letter of award
• Update and maintain contract or list
• Prepare Work Order / Purchase Order for repair works and building inventory

Facility Booking

• Ensure proper and fair booking system is carried out for the use of all the recreational facilities.
• Ensure proper records of all collection.
• Ensure monies collected are remitted to Trust Accounts Department promptly.

Complaint Management

• Keep proper records of and attend to all complaints, queries and feedback made by the subsidiary proprietors/residents and maintain good relationship at all times.
• Ensure all residents’ complaints are attended to promptly and efficiently

Meetings

• Ensure all correspondences, statutory notifications and enquiries are promptly handled
• Co-ordinate council meetings and general meetings.
• Attend Council Meetings and Annual General Meetings.

Emergency Response

• In an emergency situation which occurs after office hours, ensure all concerned parties are contacted and recalled to attend and rectify/ reset the fault quickly.

Event Management

• Planning, organizing activities, decoration during major festive seasons, Chinese New Year, Hari Raya, Easter, Moon Cake Festival, National Day, Christmas.

Staff Management

• Day to day supervision of the technicians / service providers.
• Monitor attendance of staff and service providers on site.
