Responsibilities:

Customer Service & Admin

• Create quotes for internal and external customers.
• Recommend pricing for clients to ensure profitability
• Receive orders from customers and ensure customer requests are met.
• Analyse the pricing and profitability of each client
• Understand pricing for logistics services and quote to clients accordingly
• Liaise with transport providers to book transport as requested by clients
• Process proof of delivery and send copies to customers
• General administration and managing the office and maintain contracts for internal and external
• Commercial mindset and perform analytics to ensure the overall business is profitable

Billing

• Support other departments and personnel in billing processes and assist audit teams in verifying bills and billing data
• Maintain registration, batching and coding for billings.
• Detect errors in billing processes and make appropriate corrections.
• Implement quality billing practices and procedure
• Supervise and manage all billing processes.
• Resolve complex billing issues and verify and assess all bills before processing.
• Initiate and implement innovative logistics in billing functions.
• Assess purchase orders and vendor payments.
• Process all billing transactions
• Issue billing adjustments and process past due invoices and failed billing
• Work with the compliance department on all DOI inquires
• Interface with internal customer service on customer inquiries
• Report process flow issues to Billing Supervisor

Requirements

• Diploma in Business, Accounting or equivalent
• Experience in customer service in logistics contract
• Experience in sales support or billing task in logistics contract
• Proficient skill in Excel, Power BI, Tableau
• Experience in using Cargowise a plus

Scope of Services:

Prepare Science Laboratory Resources
• Prepare science resources for teachers to conduct science experiments.
• Assist teachers during science laboratory lessons according to the stipulated timetable.
• Clean up and tidy science laboratory after science experiments are conducted.
• Keep and clean science laboratory resources after all classes have completed the experiments.
Support learning trails and activities at eco-graden
• Assist teachers to carry out learning activities eg eco-trails, hydroponics, farmbot (robotic-enabled farming)
• Assist teachers to prepare teaching aids for use at eco-garden
Provide Simple Admin / Resource / IT support
• Support science laboratory’s tracking of loaned items through loan records (sign out and sign in)
• Support science department to print, collate worksheets, laminate game cards and posters etc
• Receive deliverys from MOE HQ / vendors / agencies eg NParks etc and bring to science laboratories
• Support teachers, in providing simple IT services. Eg get ready projectors for teachers, get ready ipad carts to use at science laboratories and eco-garden
• Carry out stock take twice a year
• Assist in the issuance and collection of desk copies and any other teaching aids meant for teachers
• Any other duties as assigned or requested by Head of Department/ Level Head / level reps / teachers
Additional Information:
- School operates in a Single-Session setting, from 7.30am – 1.30pm daily.
- On a school’s needs basis, Personnel may be required to assist in administrative work during school term breaks (Mar, June, Sept and Dec term breaks). For eg. answering phone calls and walk-in queries.

Qualification, Skill & Experience:

1. Secondary qualifications, at least GCE N levels (not a necessity, where relevant work experience is considered)
2. Preferably have relevant experience and knowledge working as a science laboratory assistant in a primary school environment
3. Resourceful to prepare learning aids when supporting teachers, possibly leading to cost savings
4. Preferably have worked with plants or involved in planting / greening activities to support teachers carrying out eco-garden trails and farmbot activities
5. Meticulous, pro-active, a keen eye for details eg designing learning aids for students that are age appropriate and keeping in mind students’ safety
6. Willing to learn new skills and acquire new knowledge with a positive “can-do” attitude, flexible, open to suggestions and ideas
