What You Will Do:

• Prepare, file, and organise various company documents and records, including HR, billing, expenses, internal equipment, and corporate files, ensuring accuracy, completeness, and that all information is current
• Maintain confidentiality of all company information
• Handle incoming communications via phone and email, ensuring timely and professional responses
• Liaise on behalf of the company with external parties, including but not limited to, government departments, auditors, vendors, and associations, building and maintaining good relationships.
• Address staff queries
• Staff onboarding and offboarding
• Coordinate schedules, meetings, and appointments for company management and leadership, ensuring optimal time management and avoidance of scheduling conflicts
• Distribute agendas and prepare minutes for meetings
• Monitor office supplies inventory, place orders, and manage budgets
• Provide administrative support to other teams and projects as needed

The Must-Haves Qualifications:

• Bachelor’s degree
• At least 1 year of experience in administrative or secretarial roles.
• Excellent written and spoken English
• High proficiency in Adobe Suite, MS Office and other office productivity tools
• Tech-savvy, with the aptitude to learn new software
• Key attributes: meticulousness, discretion, and exceptional time management skills

• Manage and route phone calls appropriately
• Assists in work pass applications and other immigration related work.
