Job Description

• To generate, maintain and further develop sales forecasts for allocated customers’ accounts.
• To develop a new customer base through cold-calling, relationship management and industry contacts to maintain strong account relationships with the customers.
• To work cross-organizationally to co-ordinate pre-sales, professional services and support resources to drive successful solutions for customers.
• To achieve sales quota through identifying and gaining business from customers or new prospects and ensuring customer’s satisfaction through the products and services provided.
• To have a good understanding of the IT Products Solution and Services.
• To participate in development of value propositions and to negotiate successfully to close sales.
• To report on customer activities and general market activities at weekly sales meeting review.

Job Requirement

• Minimum 2 to 3 sales experiences in the relevant IT industry.
• IT Product Solution knowledge in Information Technology.
• Possess at least a Diploma in any discipline.

Job Description

- Able to handle full/partial set of account

- Issue Invoice, purchase order & delivery order.

- Follow up the completeness of all delivery order.

- Prepare monthly financial reports, analysis report etc.

- Work closely with other Project Team to ensure timely payments and resolve any billing discrepancies.

- Submit OA to HQ for approval.

- Provide administrative support

- Handle incoming call

- Any other adhoc as assigned.

Requirements

Candidate must possess at least a Diploma/Advanced/Higher/Graduate Diploma in Finance/Accountancy/Banking or equivalent.

At least 1 Year(s) of working experience in the related field is required for this position.

Preferably Junior Executive specialized in Finance - General/Cost Accounting or equivalent.

Able to read and write Chinese language in order to liaise with HQ (Chinese speaking) accountant.

The full set of accounts: AP, AR, GL, GST.

1. 1.1. Reconcile and uplift all cash flow (in/out) in Xero;

1.2. Populate invoices for newly and recurring files on Xero;

1.3. Email/mail receipts to client after payment has been made;

1.4. Review and analyse all the Firm’s bank statements and ensure data are correctly keyed into respective accounts in Xero;

1.5. Checking all E-litigation fees are billed to the clients by the secretaries/lawyers and monies has been received;

1.6. Bank duties inclusive of cash and cheque remittance;

1.7. Liasing with external Accounts vendor with regards to payment;

1.8. Ensure payments/refunds are being made out to vendors and clients promptly via iBanking and cheques;

1.9. Record all petty cash transactions in Xero on daily basis;

1.10. Monitoring AP and AR on a weekly basis;

1.11. Collecting all payment payments received;

1.12. Keeping track of all instalment payments received;

1.13. Calling of Clients for instalment payments;

1.14. Churning out Statement of Accounts to be sent to Clients on a weekly basis;

1.15. Issuing Letter of Demands to clients for non-payments;

1.16. Process claims for the Managing Director’s expenses;

1.17. Attending to phone calls / emails / faxes received on the Firm’s account;

1.18. Ensure Data are kept confidential and proper;

1.19. Handle any ad-hoc jobs given by the Managing Director;

1.20. Ensuring the general keep-up of the office premises;

1.21. Such other matter incidental to any of the above as may be requested by the Firm from time to time;

1.22. You are also required to comply with all the rules and regulations as laid down by the Firm from time to time.

Responsibilities:

- Receive and tally goods according to delivery order/ invoice from supplier/s.

- Receive tallied goods into inventory system.

- Pick outlet/s ordered goods, scan quantity using PDA and import data from PDA into inventory system.

- Pack goods onto pallet to prepare for delivery to outlet/s.

- Report discrepancy such as shortages, excess and damaged stocks to superior.

- Ensure proper book-keeping of documentation for records and traceability.

- Perform quarterly stock take.

- Perform general housekeeping.

- Any other adhoc duties as assigned.

Requirements:

- No working experience needed, job training will be provided.

- Able to work independently and as a team in a fast pace environment.

• Monitor and administer the Fire Command Centre, coordinating with the Technical Assistance Centre and security vendors.
• Coordinate with security vendors for provisioning and servicing of security systems.
• Utilize Visitor Management systems and other DC security tools to manage visitor check-in/check-out processes.
• Train new employees on existing and new security systems.
• Manage security access and vehicle clearance, including badge administration using in-house systems/portals.
• Input Ticket Reference No. on Delivery’s “General Release Slip” form.
• Maintain up-to-date security logs and reports for audit purposes.
• Prepare required security reports for customer reporting or ad-hoc needs.
• Coordinate with Security Guards on CCTV monitoring and Key Press management.
• Keep an inventory of security assets up-to-date.
• Assist in coordinating Company Emergency Response, Fire Drills, and Pandemic Flu logistics.
• Support Manager in day-to-day security and facilities-related functions, including activities at the loading bay.
• Perform any other duties assigned by management.

Requirements:

• Higher/Nitec or Diploma in Computing/IT/Security/Office Administration or equivalent.
• Upto 3 years of relevant working experience in an administration function, preferably in a data centre or financial industry.
• Strong communication skills and ability to handle walk-in customers.
• Meticulous team player capable of working under pressure.
• Ability to work efficiently in a fast-paced environment and meet tight deadlines with minimal supervision.
• Bilingual proficiency in English and Chinese to communicate with Mandarin-speaking clients.

This role requires meticulous attention to detail, excellent communication abilities, and the capacity to manage multiple tasks in a dynamic environment. Fluency in both English and Chinese is essential for effective communication with clients and vendors, ensuring smooth operations within the data centre site.
