The Administrator plays an important role in the Sales and Service departments in ensuring customer satisfaction through the accuracy and efficiency of their work. They often act as a liaison on behalf of their assigned sales & service team and customers when dealing with other departments to ensure customers’ needs and demands are being met.

Responsibilities

• Processing orders and oversees the order process by handling the review of purchase order terms, communicating the order acknowledgment, order status, and delivery details.
• Updates the sales order details in our CRM systems.
• Handles Local Purchases pertaining to Orders.
• Update orders into Business Report accurately twice weekly. Ensure revenue is recognized as planned and submit revenue forecast report twice a month.
• Maintains purchase orders, customer documents and files in accordance with our ISO guidelines while ensuring the data integrity of our CRM system.Maintains the Service Management System -Astea database:
• Entering information from service reports,
  Maintenance agreements, and other customer services information documents phone contacts with customers.
  
• Handles a wide variety of situations and conflicts by effectively communicating the needs and concerns of the customer which may require escalation when appropriate.

Knowledge, Skills, Abilities & Attributes:

1 - 2 years of prior administrative experience

Ability to follow directions accurately and finish tasks in a timely manner.

Bilingual or Trilingual candidates are preferred (English + Vietnamese/Thai/Malay)

Strong organizational skills, attention to detail, problem-solving and good judgment are essential.

Interpersonal skills are required to ensure calls are managed in a timely, friendly, and courteous manner.

Requires experience in handling multiple work assignments concurrently and independently.

Proficient in using MS Office Applications; such as Word, Excel, Outlook and Powerpoint.

• Oversee key account portfolio and to optimize business volume and profitability for NVO segment.
• Continuous growth in productivity for sales efficiency globally and to deliver KPIs in both TEUs and contribution margin.
• Collaborate effectively with both internal and external stakeholders to enhance customer experiences.
• Develop strategies to negotiate and manage global tender to achieve maximum returns in both multiple trade lanes and contributions.
• Maintain quality account business information in CRM for analytics on business KPI such as volume, revenue, conversion rate, etc.
• Develop customer segmentation strategy to augment corporate portfolio compatibility.
• Actively promote e-commerce and digital solutions to steer ONE’s digitalization strategies.
• Assist in any other duties as assigned.

Job Requirements:

• Diploma or Degree in Maritime Studies/Shipping-related disciplines.
• Minimum 2 years of relevant working experience in container shipping is preferred.
• Experience in managing global and/or regional forwarding accounts preferred.
• Proven sales execution ability, problem solving and negotiation skills.
• Eloquent communicator with excellent communication and presentation skills.
• Strong analytical skills and ability to identify market opportunities.
• Highly motivated individual who is result-oriented and resilient.
• Ability to work independently under pressure in a fast-paced environment.
• Proficient in MS Office applications and experience with CRM tools and knowledge in Google suite apps will be an added advantage.
• Graduates with no prior relevant experience but holding shipping related field of study are welcome to apply.
