KEY RESPONSIBILITIES / DUTIES

Key Job Accountabilities

• Overall management and co-ordination of the project
• Serve as a single point of contact in co-ordination with and consultation with the Customer’s Representative
• Deemed as the Contractor’s agent in all dealings with the Customer, including difficult customer.
• Be accountable to the Customer as the Contractor’s agent, for all aspects of the design, development, delivery, installation, integration, migration, testing, implementation, operations and maintenance services of the system
• Co-ordinate project activities with the Customer, existing vendors and other parties as indicated by the customer
• Highlight and resolve outstanding issues and problems
• Arrange for, co-ordinate and document project progress meetings and system change management meetings
• Prepare and submit progress reports
• Prepare and submit detailed development plans and schedules
• Manage changes within project constraints, e.g. scope, resource and schedule
• Plan and allocate resources proactively to ensure timely delivery of the System in accordance with the project schedule
• Set up procedures with the Customer to manage the deployment of tools and delivery of System and Services
• Take stock and track documentation, hardware and software supplied for the delivery of systems and services
• Involve in contract administration, monitoring of progress, technical personnel training, logistic support, documentation
• Lead and manage the Contractor’s Project Team, including the overseeing of all day-to-day project activities
• Manage project risks

Required Qualifications & Experience

• Degree in Computer Science, Computer Engineering or Information Technology
• Project Management certification (PMP), if any
• Minimum 4 years of software development experience and have gone through at least 2 cycles of SDLC
• Demonstrate leadership skills and have a strong team spirit with can-do attitude
• Possess strong leadership ability, good communication skills and excellent problem-solving skills in inter-organizational environment
• Familiar with the user requirements phase for IT projects
• Experience in projects with IBM MAXIMO or SharePoint will be advantageous.

Job Scope

-Processing of Purchase Orders

-Preparation of Invoices

-Follow up and monitor customers’ complaints and overdue payment

-General clerical duties, including filing, a compilation of reports as and when required.

-Undertake any other duties that may be assigned by the Sales Team / Directors.

-Support and follow-up for sales activities.

-Follow up with suppliers on price negotiation, offers and/ or existing customer orders.

-Liaise with logistics team with matters pertaining to importation and exportation.

-Keep information accessible by sorting and filing documents.

Requirements

THE RESPONSIBILITIES:

Here are how your day-to-day responsibilities of the role will look like but are not limited to:

• Establish and develop relationships and service level agreements with ISP, Carriers and Telecom and Equipment organizations;
• Consistently assess Expereo’s cost profile with its local providers and identify and implement initiatives that will result in cost savings;
• Prepare Strategic Sourcing business cases, ROI models, supplier partner communication plans and contracting options;
• Work closely with our legal teams and procurement stakeholders to develop and execute the most favorable negotiation strategies.
• Drive an optimized cost base of the carrier/provider services by setting up and maintaining an optimal mix of carriers/providers per market;
• Own supplier relationship management and lead supplier rationalization and segmentation initiatives;
• Regularly review, improve and develop the operational and commercial performance of the carriers/providers;
• Keep track of new developments in technologies in the designated region;
• Support sales with commercial projects, where additional services or solutions or special commercial conditions from carriers/providers are required;
• Act as the main interface between Expereo and in-country supplier partners and support operational escalations;
• Ensure that the APAC Supplier Partners, products, services, pricing, coverage, SLA and other related details are up-to-date and properly administrated in the Expereo Systems.
• Attend Telco events in APAC region.

THE SKILLS AND EXPERIENCE:

• Completed any higher education
• Minimum of 2-3 years of relevant experience in Supplier management/vendor relations in any industry; Telecom Internet experience is a plus
• Excellent analytical skills, with the ability to prioritize work to the needs of the business;
• Experience in drafting and negotiating contracts;
• High attention to detail with evidenced problem-solving skills;
• Structured, methodical and well-organized, creative, persistent, quality and result driven;

AIDHA

Aidha is an award-winning Singapore-registered charity. Our mission is to provide financial literacy and self-development skills to migrant domestic workers and lower income women to enable them and their families to break out of the cycle of poverty. Started initially under the auspices of UNIFEM (now UN Women), Aidha became an organisation in its own right in 2006. Since its inception, Aidha has impacted more than 6,000 women and their families and communities. We attained much-coveted IPC (Institution of Public Character) status in 2015 and have retained it ever since.

Aidha provides training in money management, computer skills, leadership, entrepreneurship and English. We conduct most of our classes on Sundays (when most migrant domestic workers have their day off). Until the pandemic took hold in early 2020, we held in-person classes at our campus at United World College in Dover. At that time, Aidha typically had 400-500 students attending classes and a pool of 150-200 active volunteers conducting the classes. Aidha is now transitioning back to in-person classes after being online since 2020. A key focus for Aidha will be to ramp up the number of in-person classes we offer, which will take place at our new main campus located at Rochester Commons near Buona Vista, as well as at our satellite campus at the FAST Hub near Eunos.

POSITION: IT MANAGER (Part-time: 2 days a week)

The IT Manager will be responsible for overseeing the planning, development, implementation, and maintenance of the organisation's IT infrastructure. This role reports directly to the CEO on organisation-wide IT matters and reports to the Campus Manager on IT matters related to the smooth running of campus operations. It involves ensuring the security and efficiency of the company's technology systems, and providing strategic IT guidance to support business objectives.

Roles and Responsibilities

IT Infrastructure Management and Operations

● Oversee the design, implementation, and maintenance of the organisation's IT infrastructure.

● Manage hardware, software, networks, servers, and other technology resources

● Maintain laptop inventory across Aidha office and Aidha Campuses

● Maintain integrity of accounts (new user set up and deletion of accounts)

● Liaise with external vendors for IT related purchases and projects

● Liaise with website vendor to ensure that the website security is up to date

Security and Compliance

● Implement and maintain security protocols to safeguard the organisation's IT systems and data

● Ensure compliance with relevant regulations and standards

● Deputy Data Protection Officer to ensure that the organisation is in compliance with PDPA

Strategic Planning and Project Management

● Collaborate with senior management to develop and execute IT strategies aligned with business goals

● Evaluate emerging technologies and make recommendations for their adoption

● Be the IT lead for systems and improvement projects (Eg. CRM, Student Management Software)

● Liaise with IT volunteers

Troubleshooting and Support

● Provide technical support to end-users, addressing hardware and software issues promptly.

● Develop and implement user training programs as needed.

● Provide orientation to new joiners on the IT policy

● Provide regular refresher of IT policy and cyber-wellness training to staff

Documentation

● Maintain comprehensive documentation of IT systems, configurations, and procedures.

● Develop and update IT policies and procedures.

Vendor and Budget Management

● Establish and maintain relationships with IT vendors and service providers.

● Negotiate contracts and agreements to ensure quality service at competitive prices.

● Source for vendor quotations

● Develop and manage the IT budget, ensuring cost-effective implementation of IT solutions

● Be involved in IT project grant application and reporting from/ to government agencies (eg. NCSS)

Office Administration

● Assist with basic office administration

Miscellaneous

● Assist in other IT-related tasks as requested by the CEO
