The Ancillary Meeting Manager is responsible for budgeting, ancillary meeting organization, HCP engagement, value added client counseling, savings consolidation, budget reconciliation, client and vendor management, and all aspects of event logistics. The ideal candidate will have had considerable experience managing ancillary meetings in conjunction with Congresses.

Your responsibilities

· Manage ancillary meetings associated with Congresses

· Direct responsibility for engagement development, planning, execution and all of its components, of all assigned engagements from the point of engagement registration

· Manage the attendee management process, including websites and attendee registrations

· Adhere to client policy on financial and compliance controls for all engagements.

· Adhere to all deadlines, turnaround timelines & compliance requirements.

· Maintain documentation in common drive of all required approvals for HCP engagement before inviting HCPs

· Prepare and send accurate HCP invites and paperwork

· Primary client liaison with regard to all logistic arrangement surrounding ancillary meetings

· Determine and arrange detailed engagement logistical needs (i.e. attendee flights, ground transfers, on-site support, slide review, etc)

· Prepare and provide client with timeline outlining all planned engagement details.

· Handle day to day client inquiries.

· Add value to client by counseling client on best practices, and suggesting ways to make their engagement successful

· Lead meeting planning team calls

· Ensure organization of registration process and liaise with lead-retrieval company if required.

· Maintain the highest level of quality, professionalism and integrity and positive relationships when interacting with suppliers, clients and teammates.

· Review supplier bills for accuracy and ensure timely payment and final billing process

· Ensure internal and external reporting requirements are met

· Full meeting reconciliation in accordance with client audit standards.

· Update budgets as necessary during planning and prepare final budgets

· Communicate budgetary information to client throughout the planning and execution of engagement

· Maintain an audit ready environment and complete audit file with all required documents within required deadlines

· Assist Operations Manager with any other duties as needed

· Proactively seek out process improvements that align with client’s strategies and long term goals

Requirements:

• At least 5 years of working experience in managing logistics operations.
• A qualification in logistics or Supply Chain Management will be preferred.
• Preferably working as a manager specialized in Purchasing / Inventory / Material / Logistic and Warehouse Management or equivalent.

Responsibilities:

• Oversee all activities and communications regarding outgoing and incoming shipments for all projects to ensure accuracy and timely preparation of necessary documentation.
• Ensure standard procedures, administrative and legal formalities, terms, and conditions are followed and completed when third parties are hired for projects.
• Communicate shipment timelines internally to make sure other functions can plan properly and meet the deadlines.
• Work with the Sales Team to assist them with freight estimation for quotation purposes.
• Determine and analyze budget for logistics needed to fulfill the project's requirements.
• Coordinate with the Finance Department to obtain necessary approval for budget and satisfy required documentation.
• Maintain high accuracy in all document preparations for logistics.
• Ensure best service and best pricing in logistic activities.
• Ensure equipment is received as scheduled by continual follow-up and communication with freight forwarders, and resolve any issues as and when required.
• Develop strong working relationships and cooperation with other functions and departments.
• Support purchasing strategies (sourcing, negotiation & cost management, quality and delivery terms, documentation) and manage procurement and rental of any external resources, services, and facilities required to support the projects or operations.
• Nurture positive relationships with suppliers and service providers for optimum pricing and support.
• Develop and improve SOPs for Logistics and procurement.
• Assist in the implementation of goals and policies for effective improvements in Operations.

Team Introduction

The TikTok App Ads and Gaming team is part of the TikTok Monetization Product organization and is responsible for building advertising products for app and gaming clients on TikTok. Our vision is to make TikTok the leading platform for app and gaming marketers to acquire, retain and monetize users by building products that support unique vertical needs, new monetization models and different stages of the app lifecycle.

Responsibilities

- Based on a strong knowledge of trends in the mobile marketing industry particularly in Mobile Gaming and App Services, XP and Cross Platform segments, to affect the strategy/direction of product solutions

- Partner with Sales leadership, Business Marketing, Global and Regional Product Marketing Managers to set long-term objectives and develop go-to-market strategies for mobile app ads adoption and growth

- Collaborate with our gaming product and solutions team to build customer-centric solutions for our mobile gaming advertisers globally, with a focused approach to NAMER advertisers

- Partner with cross functional teams and regional product marketing teams to Develop programs through the lens of clients, ultimately driving business outcomes for our clients and be accountable for NAMER ad revenue growth in close alignment with Sales

- Partner closely with sales teams and utilise data proficiently to deeply understand pain points, formulate business requirements and prioritise solutions to influence the direction of product development for growth of the gaming business

Minimum Qualifications

- BA/BS degree or above

- 5+ years of product marketing or product management experience with digital ad products, specifically in performance marketing

- Strong knowledge of app measurement industry&solutions (SDK, SKAN, 1P/3P app ads attribution, MMP etc.) and experience working on qualitative and quantitative measurement of marketing campaigns.

- Excellent communication, presentation and analytical skills. Ability to build strong compelling narratives and ability to simplify marketing messaging to resonate with different audiences

Preferred Qualification

- Gaming experience with a technology company, media agency, consulting firm preferred
