Job description

With the implementation of Interactive AI Ambassador in the museum, the role of the Assistant Operations Manager will shift to focus on integrating technology with operational efficiency and enhancing visitor experiences. This redesigned job scope reflects a more strategic, technology-driven approach to operations management, focusing on enhancing both internal efficiency and the overall visitor experience at the museum.

Duties and Responsibilities

1. Operational Oversight

• Oversee all operational aspects of the MINT Museum of Toys and retail (MINT Shop) and F&B establishments (Basement and Rooftop).
• Ensure compliance with business continuity plans and operational standards.

2. Event and Program Management

• Execute, facilitate and deliver museum tours and educational programs, ensuring alignment with museum goals
• Work together with the marketing team on event planning and promotional strategies, applying digital tools for targeted outreach.

3. Digital Transformation and Technology Integration

• Lead the integration and optimization of digital technologies to enhance visitor experience and operational efficiency.
• Monitor and assess the performance of our digital technologies, making adjustments to improve functionality and user experience.
• Understand how visitors navigate the museum, what exhibits attract their attention, and their preferences.

4. Visitor Experience Enhancement

• Use technologies insights to improve guest services, admissions and ticketing
• Document and analyze customer interactions to continuously improve service quality.
• Analyze visitor feedback and behavior patterns to tailor services and improve satisfaction.

5. Data Analysis and Reporting

• Prepare and present daily/weekly/monthly operational reports, including insights from data analytics.
• Analyze sales forecasts, market trends, and performance metrics to inform decision-making.

6. Team Management and Development

• Supervise and mentor operations staff members, focusing on performance improvement and customer service excellence.
• Coordinate training programs to enhance staff understanding of digital tools and technologies.

7. Perform other duties as assigned by management, including participation in strategic initiatives and projects.

Roles & Responsibilities

· Ensure customer satisfaction through promoting excellent service; respond to customer complaints tactfully and professionally

· Analyze staff evaluations and feedback to improve the customer’s experience

· Project future needs for goods and cleaning products; order accordingly

· Oversee health code compliance and sanitation standards

· Seek ways to cut waste and decrease operational costs

· Generate weekly, monthly, and annual reports for the management

· Train new employees and provide ongoing training for all staff

· Attend quarterly P&L meetings

• Oversee daily business operations, including service standards, inventory control, and staff management.
• Establishing long-term business goals and objectives to improve overall performance of the business.
• Analyse financial reports and implement strategies to increase profitability.
• Monitor and manage budgets, including cost control for food, beverages, and labor.
• Ensure compliance with health, safety, and sanitation regulations.
• Develop and implement operational policies and procedures to enhance service quality and efficiency.
• Conduct performance evaluations and provide feedback and coaching to improve staff performance.
• Manage vendor relationships and negotiate contracts for supplies and equipment.
• Ensure a high level of guest satisfaction by addressing and resolving complaints or issues promptly.
• Continuously seek ways to enhance the guest experience and service quality.
• Ensure menu items are cost-effective and align with customer preferences.
• Develop and execute marketing strategies to promote food and beverage offerings.
• Manage inventory levels to ensure availability of supplies while minimizing waste.
• Oversee procurement process for food, beverages, and equipment.
• Conduct regular inventory audits and reconcile discrepancies.
• Conduct market research to identify trends and incorporate them into the menu.
• Ensure adherence to all legal and regulatory requirements related to food and beverage operations.
• Maintain high standards of quality and consistency in food and beverage preparation and presentation.
• Perform all ad hoc assignment delegated by management.

Job Requirements

• At least 5 years experience in the relevant managerial role
• Must have relevant experience in Japanese Food & Beverage industry
• Knowledge of food safety and sanitation regulations.
• Ability to perform flexible working schedule, including weekends and/or holidays
• Possess good verbal, written and problem-solving skills
• Strong leadership, communication, and organizational skills.
