Job Summary:

The Operations Manager (Commercial and Environmental) is responsible for providing the overall direction of the organisation within the guidelines set up by the board of directors or a similar governing body. About the role:

The OA role has the responsibility to support vessel day to day operations such as:

Assist the Vessel Operations Superintendent as instructed and ensuring deck plan for project equipment is ready including assisting the VOS with mobilisation and demobilisation activities in an efficient and timely manner. • Assist the VOS for readiness of port call activities such as bunkering, agency selection, logistics of spares and consumables with purchasers, offshore manager / party chief and project manager.
• Prepare basic deck layout using ACAD and liaise with the 3rd party naval arch to obtain equipment sea fastening drawings. Submit the sea fastening drawings and calculations to class as necessary for approvals. Arrange for class surveyor inspections.
• Review equipment Installation structural / piping drawings for mobilisation and demobilisation. Ensure compliance to the inventory required for project specific tools with vessel equipment.
• Working closely with procurement teams to manage vendors, raise purchase requisitions follow up with goods receipts (GRN) and vet service invoices from the vendors for works performed onboard.

Requirements:

Education: Third-level technical or similar university degree education in Mechanical / Marine Engineering with several years’ work experience

Key Responsibilities

Human Resources

1. Draft, review, and manage employment contracts, offer letters, and other HR documentation.
2. Ensure employment agreement templates are updated in the common folder.
3. Oversee onboarding and offboarding processes, ensuring compliance with Company policies and a positive employee experience.
4. Maintain and update employee records, including leave management and benefits administration.
5. Address HR-related inquiries and liaise with external vendors as required.
6. Ensure compliance with local employment laws and regulations.
7. Prepare monthly payroll files for the Singapore office before the payroll cutoff date.
8. Manage the full work pass lifecycle, from job posting to renewal, where necessary.
9. Collaborate daily with the HR and Finance Teams in the China offices (Xiamen and Shanghai) to ensure smooth communication.

Office Administration & Operations:

1. Support cross-departmental projects to ensure operational alignment with business objectives.
2. Process expenses and coordinate vendor payments in the Company’s financial system in a timely manner.

Executive Support:

• Manages and handle incoming & outgoing emails
• Ensures cases are sent or attended within the standard turnaround or within the agreed turnaround time to customers.
