The Role

The appointee is required to:

• Ensure accounting records and payments are accurate and process on timely basis.
• Ensure timely preparation of accounting reports on monthly, termly and yearly basis.
• Ensure that accounting procedures and records are in compliance with acceptable accounting standards, practices and internal policies.

The role reports to Senior Finance Manager.

Key Responsibilities

Accounts Payable and Banking Matters

• Checking of payment against invoices for proper approval, accuracy and correct account and budget coding.
• Ensure that all payments are made in accordance with the school internal policies and approving authority framework.
• Verification and check of vendor bank accounts in compliance with standard operating procedures.
• Act as Liaison with key stakeholder to support and advise on finance policies, payment processes, budget and other accounting matters.
• Assist in treasury, bank facilities, operation of bank accounts, review of bank mandates and other banking matters.

General Ledger and Accounting

• Review and prepare journals and monthly schedules.
• Perform reconciliation and analysis of accounts for monthly and yearly closing as well as other supporting reports.
• Prepare monthly expenditure report to key stakeholders and departments.
• Attend queries from budget holders and end users on department accounts, actual spending, budget matters etc.

Tax, Fixed Assets and Monthly Closing

• Prepare quarterly GST reporting, statutory tax filing and statistics for Government departments.
• Assist in tracking of projects costs as well as capitalisation of assets in accordance with school policies and relevant accounting standards.
• Perform regular review of accounting records and fixed assets register to ensure the accuracy and completeness of assets.
• Support and advice end-users on fixed asset accounting treatment and disposal procedures.
• Involve in monthly closing of accounts and financial year-end audit.
• Prepare and perform analysis of monthly financial closing report.
• Assist on other ad hoc reporting and analysis requirement.

Assist in Annual Financial Budget

• Assist in preparing budget templates for dissemination to departments for submission.
• Assist in preparing budget review of departments based on certain trend analysis.
• Assist in budget analysis reports and presentation slides.

Others

• Assist in identifying, highlighting and implementing of measures to improve business efficiencies and remove gaps identified.
• Where appropriate, to participate and support in the enhancement and implementation of new work processes and accounting system.
• Assist Senior Finance Manager in any other accounting matters, ad-hoc analysis and projects as assigned.
• Liaise with external parties in connection with the accounting and financial matters of the school.
• Be responsible for reporting any concerns about a child to the Designated Safeguarding Lead.

Responsibilities:

1) Business partnership

- Establishing strong partnership with line of business team leads.

- Engage with various stakeholders for financial planning and analysis activities such as ensuring accuracy of accrual models, appropriate accounting and true-up activities.

- Provide active support as well as providing responses to financial queries to stakeholders on an ongoing basis.

2) Financial Modelling & Accounting

- Understand the underlying design, data inputs, calculation nuances, systematic configuration as well as payment methodologies and resulting accounting impact for each of those elements for the company incentive scheme.

- Lead and manage the accounting team for ensuring appropriate accounting, month end and quarterly activities and ensure accuracy across all companies in the group.

3) Controls & Compliance

- Ongoing monitoring of actual spend against budget, as well as leading actions needed for any expected shortfalls.

- Collation of data and generating monthly management reports of financial results for the group of companies.

- Managing collections/AR and generating cashflow forecast and taking the necessary actions to prevent any cash shortfalls.

- Liaising with auditors for the annual audits and tax agents for annual tax filing.

4) Leadership & Teamwork

- People management skills to lead a small team of accounts executives.

- Good EQ and able to get along with superiors & peers including those from other divisions and geography.

Requirements:

- Minimum 5 years of working experience in accounting, controllership or finance roles.

- Excellent working knowledge of MS Excel as well as data analysis skillset.

- Ability to understand, document and test complex processes.

- Accounting expertise to handle monthly closing and analysis responsibilities.

- Strong analytical problem-solving skills with ability to design and implement solutions.

- Ability to work well in matrixed organisation and dealing with ambiguity.

- Professional accounting qualification (CPA/ACCA/CIMA).

- Internal audit or controls and compliance experience is an advantage.

- Knowledge of Autocount software is preferred.

1. Handling full set of accounts, carrying out the responsibilities of accounting duties such as data compilation, bookkeeping, quarterly GST submission, corporate tax computation including tax filing Form C/C-S, prepare monthly management accounts, yearly financial report, or assist in monthly/annual budgeting and planning process.

2. Performing basic office tasks, such as filing, data entry, processing daily email, issuing invoices, collections etc. Carrying out the responsibilities of accounting duties such as accounts receivable, claims or other accounting/admin tasks.

3. Handle inventory including stocktaking and inventory reconciliation.

4. Assisting with product registration, tenders, audits, fact checks, and resolving discrepancies.

5. Undertake special assignments and perform any ad-hoc task assigned by Finance Manager.

4. Accounts Payable

• Perform check for assigned invoices to ensure proper approval and compliance with internal control procedures and company guidelines
• Conduct check over vendors’ bank accounts in accordance with standard operating procedure
