Job Description:

As an Administrative Assistant at Korls Arts and Tech Innovation, you'll be at the heart of our dynamic and innovative team, ensuring the smooth operation of our events and supporting our leadership. Your role will be crucial in helping us maintain our commitment to sustainability and excellence while embracing the lively spirit of Singapore. Will also be providing personal administrative support for the management.

Responsibilities:

1. Administrative Support:

• Assist in daily administrative tasks, such as email management, calendar scheduling, and document organization.
• Prepare reports, presentations, and correspondence for external communications.
• Coordinate and manage travel arrangements and accommodations.
• Help maintain a systematic filing system for important documents.

2. Event Coordination:

• Assist in planning and organizing events, ensuring all logistics are in place for a seamless experience.
• Liaise with clients, vendors, and team members to coordinate event details.
• Help manage event budgets, track expenses, and ensure cost-effectiveness.
• Handle event-related inquiries and provide timely responses.

3. Sustainability Initiatives:

• Support the implementation of our sustainability initiatives within the company and at events.
• Assist in sourcing eco-friendly materials and suppliers for our projects.
• Participate in sustainability reporting and tracking progress toward green goals.

4. Communication and Team Support:

• Act as a bridge of communication between leadership and team members.
• Assist in internal and external communication, including drafting and proofreading content.
• Support the team in maintaining a positive and inclusive work environment.

Qualifications:

• Proven experience as a Personal Assistant or Administrative Executive.
• Excellent organizational and multitasking skills.
• Strong communication skills in both written and spoken English, proficiency in Chinese is a plus.
• Proficiency in Microsoft Office and Google Workspace.
• A passion for sustainability and a desire to contribute to our green initiatives.
• Ability to adapt to a fast-paced and creative work environment.
• A positive, can-do attitude and a sense of humor.
• High sense of initiative with a track record of self started (and completed) projects
• Travel might be required

Singapore American School (SAS) is an independent, non-profit, co-educational day school offering an American-based curriculum for preschool through grade 12 with more than 4,000 students from more than 50 nations and over 700 faculty and staff on one campus. Our core technology platforms consist of Apple endpoint devices and Google Workspace for Education among a wide variety of classroom technology and applications to support academic and operational needs.

At SAS, High School supports a BYOD program while Middle School has a 1:1 Macbook program. The Elementary School, grades 1 through 5 has a 1:1 iPad program.

Roles and Responsibilities:

The IT Support Engineer (ITSE) is responsible for providing technical support to students, teachers and staff and answering general inquiries for all endpoint hardware, software and audio visual technologies. Specific responsibilities warrant proficiency in using current technology tools and digital platforms to create, communicate, collaborate and organize.

• Provide tier 1 troubleshooting and support, guiding users with steps over the phone, through remote support tools or in person.
• Tier 2 responsibility to support at least one of the assigned technology systems, as directed by the supervisor
• Provide AV/IT equipment setup and ongoing support for school events
• Installing, un-installing, configuring and troubleshooting software on students’, teachers' and staffs' SAS IT devices
• Maintain and support endpoint information technology solutions including audio visuals in a learning space or an office environment.
• Understand and assist in management of digital signage solution on campus
• Face to face and remote support for educators, students and parents.
• Guiding students, teachers and staff on IT software/system and hardware usage
• Recording all incidents and requests with relevant details in the helpdesk system reported via walk-ins, phone calls or emails.
• Vigilantly and effectively monitoring, evaluating and sharing responsibility with other team members for all incidents and requests reported via the helpdesk platform.
• Working diligently to meet the assigned SLAs (Service Level Agreements) for all reported issues and requests.
• Analyzing and evaluating all reported incidents and requests for any coordination, collaboration, escalation or delegation required with other tier 2 or tier 3 level support in the team.
• Collaborating with divisional tech help center coordinators to perform duties when stationed at a divisional tech help center.

• Assisting with e-waste management of SAS technology hardware for donation or disposal
• Configure Apple devices using Mobile Device Management software

Work Hours:

• Work timings will rotate between the slots of: 07:00 am to 03:45 pm, 7:15 am to 4:00 pm, or 08:00 am to 04:45 pm, including a 45 min lunch break

Qualifications and Experience:

• Diploma in Information Technology / Computer Engineering / Business Information Technology
• Relevant experience (at least two years) in providing IT Support in a dynamic environment
• Excellent communication skills in English (verbal and written)
• Positive work attitude and initiative
• Knowledge of Apple hardware and software (macOS, iOS, tvOS)
• Knowledge of audio visual hardware and systems
• Experience in Google Workspace Applications (GMail, Google Drive/Docs, etc.)
• Interest and good knowledge of technology troubleshooting, maintenance, and installations
• Able to work diligently, independently and under time constraints
• Positive and growth mindset with excellent customer service skills
• Ability to learn and adapt to new technology developments
• Keen interest and experience in researching and collaborating with team on seeking new technology solutions
• Ability to work cooperatively with the team
• Ability to be flexible, creative and problem solve novel technology issues in a fast paced and dynamic environment
• Mobile Device Management knowledge would be an advantage

Responsibilities and Duties

• Provide support in Director’s personal matters (e.g. vehicle related, insurance, driver arrangements, family-related and etc.).
• Coordinate with various stakeholders to manage Director’s extremely busy calendar for appointments, meetings, travelling time and prioritise calendar events.
• Ensure closely monitoring of all schedules, meetings and appointment are being carried out with the respective personnel.
• Take and circulate minutes of regular meetings and follow up on action items stated in the minutes (if requested).
• Organize travel plans and itineraries of the Director and make necessary booking arrangements (flights, land transfer, accommodations etc.)
• Organize and file Director’s documents daily and perform day-to-day administrative work.
• Organize and submit Director’s expenses claims.
• Proactively follow up on actions items/tasks assigned by Director.
• Proof-read all documents for external parties.
• Perform any other duty as directed by management.

Job Descriptions:

· Responsible for full set of accounts (AP, AR, GL)

· Perform accurate data entry to the computerized accounting system

· Process suppliers’ payments, verify documents (invoices / DO) are in order, prepare payment voucher, issue cheque and TT transactions.

· Follow up on Customers’ outstanding

· Reconciliation of balance sheet accounts, including creditors/suppliers, inter-company transactions and bank.

· Month-end accounts closing and reporting to HQ

· Monthly Payroll and CPF Submission (including staff claims)

· Quarterly GST submission

· Yearly AIS submission, ECI filing, assist tax agent on corporate tax filing, support external auditor during annual audit process.

· Assist with the preparation of the annual budget and forecasts

· Ensure compliance with relevant accounting standards and regulations

· Handle human resource functions i.e.: recruitment and on-boarding, apply/renewal of work pass

· Any ad-hoc duties as assigned by Management

Job Requirements:

· Min Diploma and above in Accounting or equivalent

· At least 2 years of relevant experience in handling full sets of accounts

· Proficient in Microsoft Excel, MYOB

· Mature and able to work under pressure and tight deadlines with minimal supervision

· Good working attitude, positive and responsible

· Ability to deal with sensitive information with discretion and to always maintain confidentiality
