EXECUTIVE, HR (CONTRACT)

We are looking for candidates to provide support to the Human Resource Department in areas such as recruitment, onboarding & offboarding.

Key responsibilities:

· Manage activities in relation to recruitment, onboarding and offboarding for employees, new-hire orientations and data entry in human resources information systems (HRIS)

· Maintain employee files and records in electronic and paper form

· Generate official internal documents such as confirmation letters, employment letters and resignation acceptance letters

· Provide advice to employees in various HR-related topics such as leaves and compensation and resolve any issues that may arise

· Track government-paid Leave (Paternity/Maternity/Childcare) for timely submission

· Ensure compliance with local employment legislations and update policies and procedures when necessary

· Other ad hoc HR functions as and when required

Requirements:

· Possess at least Diploma in Human Resource Management or equivalent qualification in relevant discipline with 3 years or more relevant working experience

· Excellent interpersonal and communication skills, both written and oral

· High IT literacy and strong numerical and analytical skills.

· Proficient in MS Office applications including MS Excel.

· Resourceful and self-driven with high degree of professional integrity.

· Positive work attitude and has initiative

· Meticulous and a good team player

· Experience in SuccessFactors is an advantage

Finance & Administrative

1. Manage and prepare daily AR, AP, GL for shipments and cargo inventory.

2. Accounts Receivable: Ordering, invoicing, and follow up payment with Customers.

3. Accounts Payable: Payments to Suppliers, staff claims. Reconcile payments with invoices.

4. Ensure proper filing, documentation and data entry as required.

5. Working closely with the Senior and contribute to the preparation of monthly management reports.

6. Ensure financial data are updated and recorded in Xero in a timely manner.

7. Report to Senior and work with Board on improving our financial metrics for next phase of growth

8. Report to the Directors and handle general administrative, operations and ad-hoc assignments.

Requirements:

1. Minimum Diploma/Degree holder in Finance/Accountancy or ACCA with 1-2 years’ relevant working experience

2. Proficient with Microsoft Office (Words, Excel, etc)

3. Self-motivated, well organized, meticulous and able to multi-task.

4. Ability to converse and liaise with external English and Chinese speaking vendors and suppliers

Job Descriptions

• Handle Sample registration: Weigh in-coming samples, Open samples, arrange documents, take pictures and register samples in the database and store pictures in drive. Same as mentioned for Lube Oil, Grease and Water Samples registration.
• Co-ordinate with lab for sample sub-out to other labs for samples such as Lube Oil, Grease and water samples
• Reporting: reporting of MFTP reports (Whenever needed), Fuel system check reports, Additional test reports as requested by customer, reporting of extended analysis report sent by Lab, reporting Lube Oil, Grease and Water reports.
• Additional reports like Fuel system check, Lube oil, Grease, Water, Compatibility or any other additional test reports to be prepared manually using the standard templates. Key-in the lab approved results and change or add in the commentary if needed based on the results.

• Provide sales support on customer inquiry for sample collection
• Arrange local sample collection and coordinate with logistics department on same
• Update Monthly jobs file
• Any other ad-hoc duties as assigned
