This is a full-time on-site role for an Events Executive at AGG Global Pte Ltd in Singapore. The Events Executive will be responsible for planning and executing events, managing logistics, coordinating with vendors and clients, and ensuring the success of each event. We are looking for a competent Executive Management Assistant to provide secretarial

support in marketing and managing admin tasks. Your boss will be a busy person, so

the Executive Assistant, you will likely be expected to negotiate and work skillfully with

other team members. So, team work skills are highly desirable.

Candidate Profile requirement:

-Proficiency in English (verbal &written)

-Proven experience as an executive administrative assistant or in secretarial position

-Reliable self-starter who has worked for a small office/team

-Excellent knowledge/speed in MS Office: word, PPT (assist with marketing

presentations) and editing, excel

-Payment instructions/coordination with legal & accounts teams

-MIS, planning and time management skills

Responsibilities

-Setting business meeting agendas, sending emails, reviewing incoming emails,

following up/responding with agility to investors, noting action points with speed,

accepting visitors, and assisting in set up the boss’ daily schedule

- Support marketing and investor service activities, including preparation of various

analytical reports, bench-marking, presentations, et al

-Liaise with other company staff and clients

-Maintaining documents and ensuring safekeeping of meeting records

-Maintaining calendars, scheduling meetings, travel, events, etc

-Managing office administration

• Assist with daily accounting tasks, including data entry, invoicing, and filing.
• Manage accounts payable and receivable, and prepare payment vouchers.
• Handle bank reconciliations, expense reports.
• Assist in month-end financial closing and reporting.

Administrative Support:

• Provide general administrative support.

Requirements

• Handle inbound and outbound calls, emails, and text messages.
• Answer calls promptly and professionally, addressing appointment bookings in related to the Health Screening Programme.
• Make outbound calls to customers for various purposes such as follow-ups and service updates.
• Responsible to follow up on queries that may require some assistance from health screening doctors or other staff.
• Complaint resolution: Handle customer complaints and feedback professionally, empathetically, and efficiently within the required service level agreement. Identify the root cause of the issue and provide appropriate solutions or escalate the matter to a supervisor or relevant department for resolution.
• Team Collaboration: Collaborate with team members, supervisors, and other departments to resolve customer issues and share best practices. Participate in team meetings, training sessions, and continuous learning opportunities.

Job Requirement

• Diploma or equivalent qualifications in any fields of study.
• At least 1 to 2 years of relevant working experience in healthcare, hospitality or customer service industry will be advantageous.
• Good interpersonal skills and self-driven.
• Able to work well in a team and work independently.
• Computer literate.
• Able to converse in Mandarin will have added advantage (to liaise with Mandarin speaking associates).
• Able to commit 5.5 days’ work week.

• Minimum 6 years related working experience in the financial industry or client facing role
• Proven ability to work well in a global team environment, with excellent interpersonal skills to engage and influence internal and or external stakeholders and sponsors
• Book of work planning, management, control and delivery, including process development and implementation to ensure of team productivity, and act as escalation point for any workstream issues

Preferred Qualifications

• Business to native level in written and spoken language for either Mandarin, Japanese or Korean to help existing foreign clients comply with AML/KYC regulatory requirements and interact with foreign external stakeholders
