The role will be responsible for co-development and operational delivery of the asset's materials management (MM) strategy through the team’s tactical execution of all warehouse operations, logistics

• Collaborate with Off-shore Inventory Analyst (IA) to enable their integration with business

counterparts to deliver inventory reliability optimization and accuracy in line with business and

financial objectives. Monitor inventory KPI’s, data quality, define root causes and coordinate

follow up actions. Liaise with warehouse operations, IA, and Local Finance the process to

valuate stock and in and out going materiel at the right amount with adequate underpinning

documentation.

• Engage with business counterparts to develop Major Maintenance, Turnaround and Project

support plans. Firm up Stage It/Kitting agreements for each Project, Major Maintenance event

and Turnaround event. Strategically dedicate warehouse space and determine appropriate

facility and additional resources/considerations for each event. Close out in real time to maintain

currency in direct charge materials, ensure optimal opportunity for investment recovery for

unused materials, and to keep maximum availability of space for future needs.

Accountabilities:

• Coordinates Supply Chain Operational services to realise the short-term plan which include: Marine,

Land Transport of Materials and People; Operation of Cross-dock facility, Supply Bases,

Warehouses, Yards; and management and disposal of Waste and hazardous materials.

• Evaluate purchase and service requisitions submitted by site team and recommend alternative solutions if possible.
• Coordinate closely with site team to track deliveries and verify quantity and quality of products delivered or services rendered as well as rectify and defects as soon as possible.
• Verify vendor invoices against respective purchase orders and delivery orders as well as liaise with Accounts Department for timely payment to vendors.
• Relentless sourcing for local and overseas vendors to lower our costs in purchasing of fixed assets, materials and services.
• Perform cost versus quality analysis and generate monthly reports for management.
• Establish sustainable relationship with vendors, negotiate prices and payment terms
• Ensure purchasing procedures, product delivered and services rendered comply to Company policies, government regulations and ISO standards.
• Maintain historical records, inventory of material and machine for annual accounting and ISO audits.
• To attend to any ad-hoc duties as assigned by the Manager.

Job Requirements:

• Possess a Certificate in Purchasing and Materials Management or equivalent.
• At least 3 years of relevant experience.
• Proficient in Microsoft Office.

Position Summary

Preparation of tender and/or invoice for ship-repair and/or conversion projects on the basis of manhours, materials and subcontractor costing both prior to / after award of contract. Discuss with customers/subcontractors/trades regarding scope of work and settle the invoice.

Tasks and Responsibilities

• Understand and evaluate Technical Specification. Preparation and timely submission of comprehensive quotation according to technical specification requirement.
• Preparation and timely submission of Repair Invoice to Owners according to the work carried out. Discuss, negotiate and close out invoices with owners. Following up of ongoing work and updating of Cost and Budget.
• Sourcing of sub-contractors/vendors for ship-repair works and Issue Purchase Order, including negotiation of Subcontractors/vendors Invoices’.
• Maintain proper order of Estimating and invoicing filing.
• Keeping in close contact with Owners and Production alike for updates on repairs on board.
• Close follow up on estimated manhours and actual manhours. Discuss with relevant trade supervisors and revise and/or control the manhours.
• Negotiate with vendors for equipment purchases related to Repairs and Conversions, prepare Sales Agreements / Invoices.
• Prepare and submit profit and loss reports for management reporting.

Job Requirements

• Minimum (2) years working experience in the field of ship repairs.
• Minimum (2) years working experience in the Commercial Department of a medium sized Shipyard.

- Be the contact person for ships arriving Singapore.

- Process all formalities and declarations on time to ensure smooth entry/departure of ships.

- Follows all rules and regulations according to authorities.

- Maintains a good relationship with the Ship Captain and Chief Engineer of the ship.

- Able to juggle the demands of paperwork and on-site work. Willing to work irregular hours to cater to the different ship arrival time. Remains calm and copes with any emergency events and tight work deadlines.

- Familiar with ICA application, crew change, Digiport, PSA IMOS, Pilotage booking.

- Prepare quotations and distributes disbursements for ship owners.

- Board vessels at the anchorage when required.

- Regularly update our principals on the operational activities of the vessels

Requirements:

- 'N' Levels and above

- At least 1 year related working experience in the marine industry

- Problem solver with a positive attitude.

- Fluent in English language and basic MS office skills.
