Responsibilities
The selected candidate will be responsible for operational and administrative support services in a timely and effective manner to facilitate effective functioning of Singapore office. Key responsibilities include:
- Office Upkeep - Monitor the maintenance of the office premises, assess maintenance requirements/requests, decide appropriate actions, source suppliers/ service providers as required standards and maintain administration documentation.
- Validate requests for office furniture/equipment, obtain quotations, select/negotiate with suppliers; follow up until the delivery of goods,
- Purchase and oversee the supplies of stationery and welfare for the office.
- Assist with the employee onboarding process (related to employee registration, visa processing, opening of bank accounts etc.)
- Assist with organising the logistics related to meetings/team events (e.g. venue bookings, refreshments etc.)
- Ensure all staff members are duly insured with medical insurance covers and timely renewal of the policies.
- Liaise with apartment landlords on quarterly servicing of air conditioners etc.
- Filing and maintenance of relevant documentation
- Support with the vendor creation process to ensure a fast and smooth service is provided to all vendors.
Requirements
- Degree/Diploma in business, human resources, or a related field.
- At least 5 years of experience in office administration.
- Some exposure to HR, book-keeping, purchasing, or facilities management preferred.
- Good English communication skills – both written and verbal
- Knowledge of MS-Office.
- Pleasant personality. Ability to work with multi-ethnic teams.
- Multi-tasking skills. Good work ethics.
