About the Role:
We are seeking an experienced and highly organised Event Director to oversee the event organisation for the Singapore 2025 World Para Swimming Championships. This leadership role is crucial in ensuring the seamless execution of various aspects of the event, including team services, VIP and guest protocols, ceremonies, sport presentation, spectator engagement, general operations, venue operations, volunteer management, catering, and medical services. The ideal candidate will have a strong background in event management, excellent organizational skills, and a passion for sports and inclusivity.
Key Responsibilities:
Team Services:
- Oversee accreditation, travel and transport, and accommodation arrangements for teams, officials, and delegates.
- Ensure efficient and smooth logistics for all participants, providing exceptional service and support.
VIP and Guest Protocols:
- Develop and implement protocols for VIPs and guests, ensuring a high standard of hospitality and service.
- Coordinate VIP invitations, seating arrangements, and special requirements.
Ceremonies and Presentations:
- Plan and execute the opening and closing ceremonies, ensuring they are memorable and reflective of the event’s significance.
- Oversee sport presentation and spectator engagement activities, enhancing the overall event experience.
- Coordinate victory ceremonies, ensuring they are conducted with professionalism and respect.
Finance and Legal:
- Manage the budget for hospitality, experience, and admin functions, ensuring financial sustainability and accountability.
- Oversee legal aspects related to contracts, agreements, and compliance with regulations.
Sustainability and Risk Management:
- Develop and implement sustainability initiatives to minimize the event’s environmental impact.
- Identify potential risks and develop mitigation strategies to ensure the safety and success of the event.
General Operations:
- Oversee the overall operational planning and execution of the event, ensuring all aspects are well-coordinated and run smoothly.
- Coordinate with various departments and World Para Swimming to ensure timely delivery of services and solutions.
Venue Operations:
- Manage venue setup, maintenance, and teardown, ensuring all facilities meet the requirements of the event.
- Liaise with venue management and contractors to ensure efficient operations and resolve any issues promptly.
Workforce Management:
- Work with SDSC Volunteer Manager and Team Nila to recruit, train, and manage volunteers to ensure that there is adequate workforce to deliver the event successfully
Catering:
- Oversee catering services for athletes, officials, VIPs, and spectators, ensuring high-quality food and service.
- Coordinate with catering providers to meet dietary needs and preferences.
Medical Services:
- Ensure the provision of comprehensive medical services for athletes, officials, and spectators.
- Coordinate with medical professionals and facilities to ensure preparedness for any medical emergencies.
Qualifications:
- Bachelor’s degree in Event Management, Sports Marketing, Business Administration, or a related field.
- Minimum of 7-10 years of experience in senior event management roles, preferably in sports events.
- Proven track record of successfully managing large-scale events with multiple stakeholders.
- Excellent leadership, organizational, and project management skills.
- Strong interpersonal and communication skills, with the ability to build and maintain relationships with diverse stakeholders.
