Job Scope:
- Greeting clients, visitors, and staff in a professional and friendly manner. Managing access to the office by signing in visitors, issuing visitor badges, and directing them to their appointments.
- Answering and directing phone calls, taking messages, and handling inquiries. Communicating effectively with staff, clients, and other stakeholders.
- Sorting and distributing incoming mail and packages. Preparing outgoing mail and coordinating with courier services.
- Assisting with scheduling meetings, booking conference rooms, and managing calendars for certain team members.
- Providing general administrative support to the office, which may include photocopying, scanning, faxing, and printing documents. Assisting with the preparation of presentation materials or reports as needed.
- Coordinating with the facilities team for any office maintenance issues, ordering office supplies, and ensuring the reception area is tidy and welcoming.
- Ensuring the security of the office by adhering to security protocols and reporting any security concerns to the appropriate personnel.
- Being adaptable to changing priorities and tasks, as the needs of the office can vary day to day.
Requirements:
- Min ‘N’ Level or higher.
- Experience in Receptionist or Admin Assistant.
- Excellent verbal and written communication skills.
- Strong customer service orientation.
- Proficiency in using MS Office and MS Teams.
- The ability to work flexible hours, including early mornings or late evenings, may be required depending on the office's needs.
