Job Scope:

  • Greeting clients, visitors, and staff in a professional and friendly manner. Managing access to the office by signing in visitors, issuing visitor badges, and directing them to their appointments.
  • Answering and directing phone calls, taking messages, and handling inquiries. Communicating effectively with staff, clients, and other stakeholders.
  • Sorting and distributing incoming mail and packages. Preparing outgoing mail and coordinating with courier services.
  • Assisting with scheduling meetings, booking conference rooms, and managing calendars for certain team members.
  • Providing general administrative support to the office, which may include photocopying, scanning, faxing, and printing documents. Assisting with the preparation of presentation materials or reports as needed.
  • Coordinating with the facilities team for any office maintenance issues, ordering office supplies, and ensuring the reception area is tidy and welcoming.
  • Ensuring the security of the office by adhering to security protocols and reporting any security concerns to the appropriate personnel.
  • Being adaptable to changing priorities and tasks, as the needs of the office can vary day to day.

Requirements:

  • Min ‘N’ Level or higher.
  • Experience in Receptionist or Admin Assistant.
  • Excellent verbal and written communication skills.
  • Strong customer service orientation.
  • Proficiency in using MS Office and MS Teams.
  • The ability to work flexible hours, including early mornings or late evenings, may be required depending on the office's needs.
