Job Scope:
The job scope of an Accounts Payable and Human Resource Executive involves independently managing company functions, including fund expenditure and developing HR strategies aligned with business goals.
Accounts Payable (AP)
- Generating accurate daily, bi-monthly, and monthly financial reports (inventory, operational analysis, P&L, balance sheet, etc.) efficiently.
- Managing daily general ledger entries, cash flow, inventory costing, and balance checks.
- 3. Reviewing, preparing, and processing supplier invoices for payment through banking facilities or cash payment.
- Collaborating with procurement and operations on ordering and purchasing, including import logistics documents, payment, and supply chain management, after thorough cost-benefit analysis.
- Assisting in enhancing and implementing finance processes, controls, and policies in coordination with the bank.
- Preparing, reviewing, and renewing bank financing facilities, including weekly banking forecasts and reporting on due dates, interest rates, and financing expenses.
- Monitoring and overseeing company expenditures, including fixed asset-related expenses like vehicle parking, insurance, and equipment maintenance.
- Data entry into imported products costing files
- Generate monthly import stock reports
Human Resource (HR)
- Overseeing the full employment process, including HR compliance, legal requirements, job postings, recruitment, interviews, candidate selection, onboarding, and termination.
- Managing and maintaining accurate employee records and payroll, including overtime, incentives, expense claims, and statutory contributions (CPF, SDL, FWL).
- Assisting in strategic human resource and manpower planning aligned with company goals, including staffing, recruitment, and employee development.
- Preparing work schedules, coordinating training, monitoring employee performance, and conducting appraisals.
- Ensuring employee welfare and company interests are met, including vehicle maintenance and managing work injury compensation or medical insurance claims.
- Handling the application, renewal, or cancellation of employee work passes and ensuring their validity.
- Liaising with government agencies for permit and license applications, vehicle road tax renewal.
- Coordinating employee-related logistics such as purchasing air tickets, scheduling off-days for production workers, and arranging office cleaning duties.
- Performing other ad hoc tasks as required by superiors and colleagues.
