Job Summary:

The Personal Assistant will be responsible for providing administrative and sales support to the company. The successful candidate will be highly organized and detailed oriented, efficient, and able to multitask in a fast-paced environment.

Responsibilities:

Provide administrative support by managing paperwork, organizing files, and handling correspondence.

Assist in sales-related tasks, such as preparing reports and coordinating activities.

Schedule appointments, meetings, and calls, and ensure that they are prepared and on time for all engagements.

Prepare presentations and reports

Requirements:

Proficient in Microsoft Office.

Proactive and able to work independently.

Highly systematic, structured, and excels in working with processes.

Singaporean only.

Working Hours: Monday to Friday

• Act as the point of contact between General Manager and internal/external customers (including overseas)
• Screen and direct emails & phone calls and distribute correspondence
• Handle requests and queries promptly and appropriately
• Manage diary and schedule meetings & appointments
• Travel arrangements
• Take dictation and minutes
• Produce reports, presentations and briefs
• Devise and maintain office filing system
• Daily office administration, office supplies, upkeep of general workspace and facilities
• Administer Incoming & Outgoing mails, parcels and related items
• Assist with sales quotations & purchases when required
• Identify opportunities to continuously improve performance

Key Requirements

• Candidate must possess at least a Diploma / Advanced / Higher / Graduate Diploma in any field
• Administration Skills – minimum 1 year experience
• Prompt, thorough and pay attention to details
• Ability to work well with others & independently
• Great temperament
• Display good attitude & able to multi-task in a fast-paced environment
• Resourceful
• Good experience with MS Office tools, i.e Excel, Word & Powerpoint. Experiences with CPQ, ERP, CRM or SCM are a plus.
• Experienced in sales or order fulfilment
• Excellent in organizational and multi-tasking skills
• A team player with high level of dedication
• Ability to work under strict deadlines
• Excellent verbal & communication skills, written & spoken English. Good command of Japanese is a plus.

Full-time hours are required at One Personal Training, including early mornings and late evenings during your initial year of service.
