Job Responsibilities:

Responsibilities

Finance & Accounting

• Report to Financial Controller who is a qualified CPA / Chartered Accountant
• Liaise and coordinate with outsourced accounting firm on finance matters.
• Manage Account Payable and/or Receivable
• Ensure financial records are maintained in an effective, up to date and accurate manner
• Work closely with the Financial Controller to maintain, review and implement financial and accounting policies to ensure compliance with company’s policies and good governance, practice and standards.
• Assist in any other finance-related matters as required

Administration

• Liaise and coordinate with outsourced corporate services firm on SOP audit & compliance
• Other Ad-hoc duties if assigned.

Requirements

• Minimum Diploma or Degree in Finance, Accounting or Business fields
• 2 years experience preferably from service / hospitality / healthcare / retail industry.
• Recent university or polytechnic graduates in relevant fields without work experience but with good attitude and academic records are welcome to apply.

The Admin & Facilities Executive shall handle the office renovation and reinstatement works and ensure the day-to-day smooth operation of a building infrastructure, through administrative support, including procurement, negotiation, contractor liaison and documentation as well as coordination of staff and office equipment during relocation.

Key Responsibilities:

• Administrative Support:Provide comprehensive administrative support to senior management and the team.
  Manage office supplies, equipment, and vendor relationships.
  Coordinate meetings, travel arrangements, and prepare reports and presentations.
  
• Compliance and Regulatory:Assist in ensuring the company’s adherence to financial regulations and compliance standards.
  Prepare and review compliance documentation, reports, and audits.
  Stay updated with changes in relevant laws and regulations to ensure ongoing compliance.
  
• Accounting and Financial Management:Oversee daily accounting tasks, including accounts payable/receivable, bank reconciliations, and financial reporting.
  Assist in preparing financial statements and budgets.
  Monitor and ensure accurate recording of transactions and financial data.
  
• Office Management:Maintain and organize office files, records, and documentation.
  Handle correspondence and communication with clients and stakeholders.
  Implement and manage office policies and procedures to improve efficiency.
  
• Project Coordination:Assist in project management tasks, ensuring deadlines are met and objectives are achieved.
  Collaborate with various departments to support ongoing projects and initiatives.
  

Qualifications:

• Proven experience in administrative roles, with a strong background in compliance and accounting.
• Knowledge of financial regulations and accounting principles.
• Excellent organizational and time-management skills, with the ability to prioritize tasks and work independently.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and accounting software (e.g., QuickBooks, Sage).

You will work closely with the HR Business Partner to provide support in a variety of HR and office-related administrative tasks.

HR Administration

• Handle onboarding and exit processes, coordinate with various department
• Employee Insurance movement, submission of addition and deletion when required
• Provide support and manage Intern/Temp staff recruitment process not limited to job posting, liaising with Institutes, interview scheduling and contracts preparation
• Perform monthly overtime calculation for Intern/Temp Staff
• Prepare onboarding or corporate gifts for new joiners and recruitment drives
• Coordinate and support on HR projects, events, meetings and training seminars
• Proactive and active engagement in staff welfare activities

Office Administration

• In-charge of general office administrative support
• Requisition for business cards, event name tags, office supplies and weekly fruits supply
• Check, verify and process invoices related to HR Admin matters
• Manage all meeting room bookings within allocated monthly credits
• Handle office maintenance, space planning, storage arrangement
• Arrange or assist with courier services - local and overseas
• Prepare admin related documents or invoices and ensure systematic e-filing
• Any ad-hoc duties may be assigned from time to time.

We are now looking for an Admin Support Executive (Mailroom) who will be responsible for managing mailroom operations and supporting data quality initiatives. This role involves handling incoming and outgoing mail, maintaining accurate records, and assisting with data reconciliation tasks. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to perform administrative tasks efficiently.

Mailroom Duties:

• Manage office phone calls and address client inquiries via email.
• Coordinate local and international courier services.
• Oversee the complete mailroom process, including receiving, sorting, scanning, and uploading client correspondence into the designated platform.
• Organize and maintain an efficient and systematic filing system.
• Perform other administrative duties as assigned by the Head of Operations.

Data Quality:

• Assist the Head of Operations in reviewing and analyzing dashboard data and implementing corrective actions as needed.
• Propose new reconciliation methods based on data observations to enhance accuracy.
• Conduct daily reconciliation between Xero invoices and the Sleek platform to ensure accurate recording of all services.
• Undertake additional administrative tasks as directed by the Head of Operations.

(A) JOB SUMMARY

You play a pivotal role in providing administrative support to Quality Management and Nursing Administration Departments, responsible for training administration, information management, project, audit and meeting co-ordination and reward and recognition program. Act as a liaison between Singapore Nursing Board, Ministry of Health, and other external stakeholders.

(B) PRIMARY DUTIES & RESPONSIBILITIES

B1. Information Management

• Maintain nursing policies and procedures and ensure these are reviewed and updated in a timely manner.
• Maintain confidential and sensitive information.
• Organize and manage files, documents, and records.
• Develop forms when needed.
• Be proficient with office software and technology tools, including word processing, spreadsheets, software such as slido etc.

B2. Training Administration

• Registration and enrollment : Managing the process of enrolling staff in the training courses as per training schedule and tracking their progress. Collaborate with all stakeholders and ensure sufficient participants for the training to be held as planned.
• Classroom Set Up: Ensure appropriate classroom set-up for the training programs.
• Resource Allocation : Allocate resources such as training rooms, training materials, aids etc. for the training programs.
• Training Inventory : Ensure sufficient and appropriate training materials are accounted for and purchased in a timely manner.
• Evaluation : Measure the effectiveness of the training programs through assessments, feedback, and performance improvement metrics.
• Documentation : Keep records of training attendance, completion, and any certifications or credentials obtained.
• Continuous Improvement : Analyze training outcomes and feedback to make improvements to the training on an on-going basis with trainers.
• Compliance : Ensure training programs meet legal and regulatory requirements especially those mandated by Singapore Nursing Board etc. to achieve the continuing nursing training hours.

B3. Reward and Recognition (R&R) Program

• Provide and oversight for the R&R Program.
• Plan and execute the monthly, quarterly, and annually the various awards in a timely manner and track the utilization of vouchers and keep accurate records.
• Liaise with all stakeholders to ensure the event is held seamlessly and resources are readily available for certificates, SPOT cards, Vouchers etc.

(C). SECONDARY DUTIES & RESPONSIBILITIES (SPECIAL SKILL SETS)

• Support internal and external audits, including but not limited to licensing and accreditation.
• Perform secretariat roles for assigned committees.
• Perform planned activities such as Quality week events.
• Handle correspondences and coordinate meetings.
• Any other tasks as assigned by the Supervisor.

(D). JOB REQUIREMENTS:

• Diploma level preferably with ability to type & computer literate
• Must be conversant in computer program such as Microsoft Word, Power Point and Excel
• Good written and verbal communication skills
• 5 days work week
• Monday to Thursday : 8:00am to 5:30pm
• Friday : 8:00am to 5:00pm
