The Property Admin HR/Executive supports the Property Manager in the efficient management and administration of properties. This role involves handling administrative tasks, maintaining records, and providing customer service to residents and stakeholders.

• Assist in the preparation and distribution of notices, circulars, and correspondences to tenants and stakeholders.
• Maintain and update property management records, databases, and filing systems.
• Prepare meeting agendas, minutes, and reports for management committee meetings.
• Serve as one of contact for clients’ inquiries, providing information and assistance as needed.
• Handle and resolve basic complaints or escalate them to the Property Manager.
• Maintain a schedule of preventive maintenance activities and ensure adherence.
• Assist in monitoring the completion and quality of maintenance works.
• Manage office supplies and inventory, ensuring availability of necessary materials.
• Perform general clerical duties, including photocopying, scanning, filing and basic billing (if required)
• Provide administrative support to the operations team to ensure that the department is maintained in an effective, updated and accurate manner.
• Assist with sourcing and purchasing duties.
• Prepare invoices, data key-in and submission of regularly scheduled reports.
• Coordinate paperwork relating to meter reading, carpark system, M&E services and other operational processes.
• Assist in the documentation for handling of renovation works and reinstatement cases.

Job Description

• · Review and interpret M&E(ACMV/Electrical) tender documents and drawing.
• · Take off, prepare bills of quantities and cost estimation for M&E services.
• · Workout preliminary M&E design for design and build tenders.
• · Prepare technical data and proposal for tender submission.
• · Responsible in the overall contract administration including main contractor and subcontract.
• · Review letter of award from client / main contractor.
• · Negotiate, evaluate, and shortlist supplier / subcontractor.
• · Prepare monthly progress claim and process subcontractor / supplier monthly payment.
• · Control and monitor project budget including proposing value engineering solution and work closely with site manager / engineer.

Job Requirement

• Diploma / Degree in Quantity Surveyor， Electrical Engineering, Mechanical Engineering, or related field.
• Experience and knowledge in M&E services and systems.
• Minimum 2 years of working experience in ACMV/Electrical（M&E） is preferred.
• Responsible, independent, hardworking, good in interpersonal and communication skills, able to work in a fast-paced environment and handle tight deadlines.

Progress Claims

• Handle contractual claims
• Prepare necessary attachment for progress claims,
• Assess the work completed by contractors and issue payment certificates based on it.
• Evaluate and changes to the original scope and determine the cost impact.
• Prepare the final account at project completion.

Financial Reporting

• Prepare regular financial reports, including cost forecasts, cash flows and budget variance analysis.
• Conduct on-going and post-project cost analysis and reporting.
