Job Description & Requirements
Condominium located near Yew Tee MRT area has 2 positions for Property Officer. You will be deployed on site, and assist with the daily operations of the estate. The working hours are 9:00am-6:00pm on weekdays, and 9:00am to 1:00pm on alternate Saturdays. There will be a team of 6 staff on-site, who will rotate to operate the office on Saturdays.
Responsibilities and Essential Functions:
Management and Administration
• Assist the Condominium Manager on all matters relating to the administration of the condominium particularly on The Building Maintenance and Strata Management Act, all statutory regulations, and House Rules.
• Conduct daily checks on the ground to ensure that the common areas are well maintained. Report any lapses or incidents to the Condo Manager.
• Conduct daily check on the common property not maintained by a term contractor to ensure their soundness and proper maintenance.
• Check and ensure that the renovation and house moving contractors comply with the House Rules.
• Receive and attend to complaints by residents and owners for inter-unit seepage problems, or inter-unit disputes. Feedback and report the findings to the Condo Manager.
• Manage and supervise the term service providers to ensure they perform to the standing orders expected service levels.
• Liaise with technical & maintenance service providers, repairs, installation, fabrication, renovation & refurbishing contractors, witness the satisfactory completion of their works, or report any defects to the Condo Manager.
• Ensure that documents, records and architectural, structural and M&E drawings are properly kept and maintained.
• Record and file the list of service contractors, and remind the Condominium Manager for contract renewal or changing of contractors.
Operation and Maintenance
• Receive in-coming phone calls or attend to residents at the work place.
• Conduct regular inspections of the condominium premises and ensure that its vital installations, facilities, equipment and common property are cleaned, properly maintained and serviced.
• Assist in general office duties, including preparing the as-built drawings for respective service providers to study and carry out works. If the keys to the equipment and facilities are inside the Office, ensure the service providers return the keys at the end of each work day.
• Verify that minor repairs and replacement works are carried out properly and duly completed by the contractors, sub-contractors, specialists according to the terms and conditions of the contract and ensure that all rubbish leftover is cleared off the condominium premises as soon as possible.
• Assist the Condominium Technician for safety if he is working at height.
Requirements:
- "N" Levels, "O" Levels, Diploma in Building Management / Facilities Management / Engineering / Accounting, or relevant certificates through work experience.
- A team player with good interpersonal skills.
- Meticulous, with attention to details.
- Knowledge of the Building Maintenance and Strata Management Act is an advantage.
- Good service attitude, and able to handle complaints. Passion for estate management work, and helping to solve problems for other people.
- When necessary, willing to work beyond normal hours and on weekends or public holidays. Off-in-lieu will be provided.
- Proficient in Microsoft Office, especially Word and Excel.
- Familiar with mobile Apps and facility booking portals, communicate well in email and Whatsapp.
- Singapore Citizen or PR.
- If you are a fresh school leaver, you must be independent, resourceful, and a fast learner.
