The Assistant IT Manager will be responsible for the smooth functioning of the Hotel’s MIS department/section and its operations. He/she will advise program developments for users of front and heart of house. Together with the IT Manager, he/ she will co-ordinate and establish hardware maintenance programs, establish and able to apply procedures in case of system interruptions; ensure security of data storage, data protection and be able to conduct training of user equipment where required.
Software license
· To ensure that hotel has required software licenses for all IT and business applications
Users’ Access Rights Management
· To ensure all systems are properly set-up with user rights according to the policies or according internal authorities granted for access to business applications and software usage. To create users rights for new employees and to timely delete resignees’ user access rights.
Maintenance of Contract and SLA (Service Level Agreement)
· To ensure that all critical systems are established with a maintenance contract with a schedule SLA in place and fees are timely paid.
· To maintain a proper system of filing and archive of all documents.
· To exercise emergency procedures for the continuity of the Hotel's operations in the event of a system failure. Procedures should include various steps to be taken during the daytime, during the nights and on weekends and public holidays.
· Patch Management- to ensure that patch management policies and procedures are in place and properly documented.
· Capacity Management- to ensure that capacity management is properly carried out ant recorded.
· Manual and Operation Procedure- To ensure updating of manual operation files are being updated.
· Policy and Procedure – to constantly update the policy and procedure files for hotel management approval to proceed.
· Data Protection – To be a Data Protection Officer, ensure the hotel data is accountable for, related to all data protection regulations set by PDPA authority.
Accountability 2: Technical Responsibilities
Assist IT Manager for the following job scope:
· To carry out the full scope of MIS Management in the Hotel, which including, but not limited to the following areas:
- To ensure hotel data is backup properly;
- Check all interfaces running normally;
- Check email messages, ensure smooth running;
- Check Servers disk space to ensure smooth running daily;
- Check the routers and firewall are in operative mode consistently and daily;
- To support IT users on relating to IT issues;
- Report to 3rd party or IT support vendors to rectify any problems, faults, ambiguity and fallacies that may arise from any of the MIS/IT systems;
- Monitor and ensure that no illegal access by illegitimate users, illegal copy of files and software;
- Assist any new software implementation for pc and servers;
- Involve in IT Projects implementation and Training;
- Involve in IT Policy and Procedure implementation;
- Involve in all IT audits related to the hotel;
- Assist with guests’ complaints on Internet Access;
- Coach users of the systematic use of all applications and systems;
- Conduct regular check on PC viruses and update of definition files;
- Regularly sending reminders to users to update their viruses definition files;
- Assist with set-up of IT system whenever requested by HOD, Superior, event organizers, clients and guests;
- To be on 24hrs by 7 days standby support and be recalled to hotel to attend to MIS/IT problems on exigency situations;
- Ensure proper backup are done successfully daily;
- Ensure data restoration is successful, to be test at least twice a year.
- Maintain POS system and call accounting system runs smoothly;
- To recommend new system and improvise changes on the MIS systems of the hotel whenever necessary.
