Key Responsibilities

Administration:

• Manage contracts and HR policies, including NDAs and leave.
• Oversee operational tasks like cleanliness, printing, and managing attendance systems.
• Handle registration forms, student records, and issuance of materials.

Student & Parent Liaison:

• Assist with onboarding and orientation for new students.
• Respond to inquiries from parents and students.

Program Management:

• Understand and manage a range of programs (tuition programmes).
• Plan schedules and update the Learning Management System (LMS).
• Assist with recorded lessons and term planning.

Sales & Lead Management:

• Follow up on new leads and inquiries.
• Provide detailed program information and upsell services tactfully.

Finance:

• Handle invoicing, bookkeeping, payroll, and CPF submissions.
• Process payments and reconcile accounts.

Maintenance:

• Ensure facilities are clean and well-stocked.
• Manage supplies and coordinate facility upkeep.

Advanced Communications:

• Navigate sensitive situations with parents or students.
• Manage financial assistance cases and follow up on overdue payments.

Training Provided

We don’t expect you to know everything from Day 1! You’ll receive comprehensive training in:

• Hours: Tuesdays–Fridays: 1:30 PM – 8:30 PM

As our centre administrator, you will be supporting the Principal in day-to-day administration and operational support.

Roles & Responsibilities:
• Manage and record (e.g. petty cash, daily collections, centre enrolment report etc).
• Input data on ECDA website (e.g. particulars of new students).

• Assist parents in the purchase of merchandise and enrichment programmes such as uniforms, caps, books.

• Manage staff records eg, leaves and over-time.
• Issue invoice and receipts.
• Order grocery and other essential needs of the school during operation. Handle other ad-hoc duties as assigned.

Requirements:
• Min of GCE 'O’ Level with 1 year experience in any administrative field

• Proficient in MS Office (Word, Excel and PowerPoint).

• Able to multitask and work within deadline
• Possess good interpersonal, communication skills and a good team player

• Provide full support for HR Department in reporting to HR Manager
• Welcoming visitors, clients, and employees as they arrive at the office, and directing them to the appropriate person or department.
• Managing incoming calls, taking messages, and transferring calls to the appropriate staff member or department.
• Sorting and distributing incoming mail to various departments and warehouses.

• Process work pass renewal with CORPass, WPOL, EPOL. With renewal of foreign Work Permits / SPASS / EP, LOC and PLOC.
• Coordinating new hire paperwork, conducting orientation sessions, and assisting new employees with the onboarding process.
• Maintaining accurate and up-to-date employee records, including personal information, employment contracts, and performance evaluations.
• Assisting employees with foreign employees work pass issues, benefits enrollment, processing changes, and answering questions related to health insurance, retirement plans, and other benefits programs.
• Assisting with the development and implementation of HR policies, procedures, and programs, and ensuring compliance with relevant laws and regulations.
• Providing support to employees on HR-related matters, such as resolving conflicts, addressing grievances, and facilitating communication between employees and management.
• Coordinating training sessions, workshops, and other learning opportunities for employees as assigned by departments.

Requirements

Responsible for assisting the F&B Manager, Outlet Manager with the administration and running of the F&B division. Assist Managers to meet or exceed designated efficiency and service standards. Primarily responsible for organizing work and follow up / tracing pending projects.
