• Conduct financial counselling to patient/NOK on the estimated hospital bills, available subsidies and schemes and various modes of payment.

Job Summary:We are seeking a highly motivated and customer-oriented Clinic Assistant to join our dynamic healthcare team. The Clinic Assistant will be responsible for providing exceptional administrative and clerical support to ensure smooth operations within the clinic. This role requires flexibility in working various shifts, including evenings, weekends, and holidays, to accommodate our patients' needs.

Responsibilities:

1. Greet patients and visitors warmly, ensuring a welcoming and friendly atmosphere within the clinic.
2. Register patients by collecting necessary personal and insurance information accurately and confidentially.
3. Schedule patient appointments and follow-up visits, coordinating with medical staff and ensuring optimal patient flow.
4. Answer phone calls, emails, and inquiries promptly and professionally, providing information and assistance as required.
5. Assist patients with completing necessary forms and documents, ensuring all required information is obtained.
6. Maintain cleanliness and organization of the reception area, waiting room, and other common areas.
7. Manage patient records and files efficiently, ensuring accuracy and compliance with privacy regulations.
8. Assist medical staff with various tasks as needed, including escorting patients to examination rooms and preparing examination rooms for procedures.
9. Process payments, handle billing inquiries, and maintain accurate records of financial transactions.
10. Perform administrative duties such as photocopying, faxing, and scanning documents as required.
11. Collaborate with other clinic staff to ensure seamless coordination of patient care and services.
12. Adhere to clinic policies and procedures, maintaining confidentiality and professionalism at all times.

Qualifications:

1. High school diploma or equivalent qualification preferred ; additional education or certification in healthcare administration or related field preferred.
2. Previous experience in a medical or healthcare setting is advantageous.
3. Excellent communication and interpersonal skills, with a friendly and compassionate demeanor.
4. Strong organizational skills and attention to detail, with the ability to multitask effectively in a fast-paced environment.
5. Proficiency in basic computer applications, including MS Office Suite and electronic medical records systems.
6. Ability to work flexible shifts, including evenings, weekends, and holidays, as required.
7. Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
8. Positive attitude, willingness to learn, and a team-oriented mindset.
9. CPR certification may be required, or willingness to obtain certification upon hire.

Working Conditions:

• This position requires working flexible shifts, including evenings, weekends, and holidays, to accommodate clinic hours and patient needs.
• The Clinic Assistant will primarily work in a clinical office environment, with occasional exposure to medical equipment and instruments.
• The role may involve prolonged periods of sitting or standing, as well as occasional lifting or moving of light objects.

You will support the Manager to drive performance and service quality in the call centres across SingHealth through call and email audits, as well as from patients’ feedback. You will identify any tasks/ processes that have the potential to be improved and automated by harnessing technology. Driving the usage of Customer Relationship Management system will be one of the key deliverables. You will ensure proper and systematic documentation of Call Centre work processes and develop Robotic Process Automation (RPA) to automate these work processes. You are also required to participate in workgroups to drive change and bring joy at work.

Patient Service Associates (PSA) provide frontline counter services to patients. PSA is to assist patients by checking patient’s service/order requirement, managing patient queues, handle basic enquiries (e.g. appointment booking) and to provide administrative support to medical technologists and radiographers.

Job Responsibilities:

• Responsible for reception of all appointment and walk-in patients at the Diagnostics counters
• Ensure 2 patients’ identifiers (NRIC & Name) are verified for all patients when handling patient registration electronically (i.e. EPIC, LIS, RIS, POS, BSS.) and verifying tests ordered by doctors.
• Accurate appointment scheduling / booking and registration for eligible mammogram patients via Breast Screen Singapore (BSS) portal
• Registration of mammogram patients are done accurately via BSS portal, including updating of patient particulars such as mailing address and contact number.
• Relevant instructions are communicated effectively to patients prior to their procedures/tests, chaperon patients to changing or counselling room where applicable.
• Handle enquiries and provide prompt and courteous service delivery to internal and external customers.
• Responsible for payment collection when assigned to cashier duties and ensure tally of end-of day sales with cash settlement and other transaction records.
• Ensure Medisave Authorization Forms (MAF) are filled in accurately with patients’ endorsement and approval, and all Medisave transactions are captured accurately in EASIPOS
• Accurate application of promotions and discount vouchers appropriately and to validate its utilization via EASIPOS
• Support administrative function to centre in-charge including but not limited to dispatching of lab and x-ray reports, proper record and documentation of courier services.
