Our client, a local bank, is looking for administrative assistant to support the group senior director with administrative and HR support.
Job Type: 1-year contract
Responsibilities:
General Administrative
- Maintain & update of departmental Org chat, Contact list.
- Update and maintain the list of allotment of DBS access card, laptop asset tag and corporate mobile phone.
- Update & maintain Joy Space lockers records
- Procurement of general shared office supplies and equipment for Joy Space.
- Incoming/outgoing courier/mails for JoySpace.
- Assist PA in coordination and implementation of JoySpace office rules and procedures.
PA/Secretarial Support
- Checker-Expenses claim reports submitted for Department Head’s approval.
- Creating & maintaining filing systems.
- Assist in booking of meeting rooms, auditorium & conference facilities, catering, audio & video conferencing.
- Business Travel Arrangement including flights, hotel & VISAs.
- Calendar Management for Rajeev and his direct reports.
HR Support
- Assist with On boarding & Exit Processes –access card and building cards issuance, laptop procurement, AIM application processes, etc.
- Assist in internal staff transfer processes.
- Arrangement for department staff welfare – flora/fruit basket (new born, hospitalisation, condolences, etc.,
- Coordination for staff year-end gift / festive gift – Appreciation Day, CNY red packets & oranges, Diwali, Fruits Day…etc.(Department Head & PA inclusive)
- Company Corporate Gift
Others (Adhoc or as and when required)
- Support in In-house & offsite teambuilding event/activities.
- Raise payment advice with external tax invoices
- BCP Co-Ordinator
- Provide admin support for adhoc events (GLC / DYK / TFest / etc.)
Requirements:
- Degree/Diploma any discipline
- At least 3years in secretarial duties, general administrative duties, Human Resources Support for On/Off boarding
- Strong Microsoft Office skills, SharePoint, Word, Excel, PowerPoint
- Good communication skill with internal and external stakeholders to build
- Ability to multi-task and prioritize work in a dynamic environment, manage multiple priorities
