Position Overview:

The HR and Admin Executive will assist to ensure that the department’s day-to-day operations are running smoothly; recruitment, payroll, admin and training.

HR Processes | Office Management responsibilities:

• Update Employee Handbook and Policies
• Prepare Contracts of Employment, review Salary offers (to be approved by GM)
• Execute and Support HR processes (includes Payroll, Hiring, Onboarding/ Exit processes, Performance Management, Objective Settings, Training and Development enrolment, FWA, follow through on MOM obligations, manage work pass/ foreign employment applications etc.)
• Consistently update and provide support in PDPA
• Submission of statistics & report to government bodies
• Processing & applying available grants with relevant Government departments
• Assist in organizing company events & activities
• Handle contracts and renewals
• Organize and maintain files on all insurances, patents, licenses, certifications and trademarks
• Manage office efficiency and cost relating to: office stationery, pantry requisition, cleaning service and office equipment procurement
• Maintain the office & equipment condition & proactively coordinate necessary maintenance & repairs in partnership with Production Supervisor
• Liaise with all facility management vendors (including cleaning, security services, building maintenance)
• Source, negotiate, select and manage list of preferred vendors for all offices & shops
• Ensure Health & Workplace Safety standards are met
• Support IT related matters (at HQ & retail shop), as point of contact, maintaining back-up & disaster recovery plan

The person in this position is responsible for managing and executing human resource functions, including recruitment, employee relations, performance management, training, and compliance with labor laws.

Responsibilities:

Recruitment & Onboarding

• Coordinate with School Operation Division in fulfilling manpower requirements, and manage the deployment of suitable staff to various outlets

• Manage the end-to-end recruitment process, including job postings, screening, interviews, work pass application and selection.

• Coordinate the employee onboarding process to ensure smooth integration into the organization

Performance Management

• Support the regular performance appraisal/assessment of employees by coordinating reviews, compiling feedback and assist in preparation of contracts renewal

Training & development

Administration

Requirement:

1. Bachelor Degree in Human Resource or related field

• Manage the end-to-end payroll process, ensuring timely and accurate payment for all employees
• Calculate salaries, overtime, bonuses, and handle statutory contributions like CPF and tax filings (IR8A, etc.)
• Prepare payroll reports and work closely with the finance team for payroll reconciliation and budgeting
• Maintain payroll records and ensure compliance with local labor laws and regulations
• Address payroll-related queries and resolve discrepancies in a timely manner
• Assist in maintaining HRMS records, including salary data, leave balances, and personal information updates
• Support the recruitment process by coordinating job postings, screening resumes, and scheduling interviews
• Assist with onboarding processes, ensuring smooth integration for new hires
• Collaborate with hiring managers to ensure recruitment aligns with organizational needs
• Maintain records of recruitment activities and track recruitment metrics for reporting purposes
• Assist in the preparation of performance bonuses, annual wage supplements, and salary increments

Requirements:

• Diploma or Bachelor’s degree in Human Resources, Accounting, or related field
• 2-3 years of experience in payroll processing, with exposure to recruitment and talent acquisition
• Strong knowledge of Singapore payroll regulations, CPF, and tax filings
• Proficiency in payroll software (e.g., Sage, SAP, Timesoft) and MS Excel
• Strong attention to detail, organizational, and communication skills
• Ability to handle confidential payroll information with discretion
• Experience in both payroll and recruitment functions is highly desirable
