Main Duties:

To ensure smooth transactions and coordination of order processing between Sales, production, and logistics.

Responsibilities and Activities Summary:

• Responsible for the Full Spectrum of order processing(E.g.: Sales Order, Refills Order, Consignment Orders, Sample request and Transfer Orders, etc.)
• Work closely with Sales Managers to ensure all orders are processed promptly and accurately into the system on the same working day.
• Assist Sales Managers in updating the prices, sales conditions, information, contracts, etc. in the Sales Force System whenever necessary.
• Monitor orders and communicate order status to customers.
• Coordinate with the logistics team closely to ensure on-time delivery and provide a complete set of required documents to the customer promptly.
• Review shipping documents and ensure documents are in full.
• Follow up with customers on overdue invoices and payments.
• Handles customer requests on technical documents, shipping documents, etc.
• Work with commercial and technical teams to handle customer coordinating returns, credit, replacement, etc. tender information
• Provide administrative support and any other duties as assigned by the Customer Service Manager.

Requirements

Min Diploma or equivalent.

At least 2-3 years of Customer Service experience.

AML KYC Manager (KYC) – 12 Months Contract

Department:Private Wealth Compliance

AML/CFT/Sanctions ADVISORY

• Advises FO on onboarding requirements
• Advises on and prepares risk framework
• Performs gap analysis for new regulatory requirements
• Review and update of AML/CFT/Sanctions related policies and procedures

ACCOUNT OPENING

• Reviews and checks client on-boarding and account opening documentation
• Performs detailed due diligence and compliance assessments on client on-boarding and account opening documentation
• Checks adherence to client with the on-boarding checklist (e.g. KYC, Hansha checks, World-Check or equivalent, Google searches, PEP status, VC etc.)

DAILY NAME SCREENING

• Reviews, clears with adequate justifications alerts in name screening tool (ad hoc and batch name screening, etc) and escalates relevant adverse hits

TRANSACTION MONITORING

• Review inflow/outflows of cash and assets
• Investigates unusual transactions
• Prepares STRs

PERIODIC REVIEWS

• Organises, tracks and performs the periodic KYC reviews including trigger event reviews
• Prepares documentation for re-approval by Senior Management

ADMIN/SYSTEMS

• Handles the filing and archiving of client documents
• Monitors the client status as accredited investors
• Liaises with external vendors for AML related matters.
• Performs reviews of parameters and functionalities of AML systems (threshold setting)
• Prepares KYC, AML training materials and delivers KYC, AML training.
• Prepares documents (client files, memos, etc) for submission to senior management.

Requirements

• Minimum 5 years of experience working within a similar function and industry.
• Good command in English writing skills as well as analytical skills

DUTIES AND RESPONSIBILITIES

1. Programme Planning and Implementation

• Develop and implement outreach plan to seniors.
• Develop and implement annual calendar plan of social and health activities for seniors.
• Ensure that the programmes and activities meet the performance indicators and operating guidelines issued by Agency for Integrated Care, administration of the CSQ, half-yearly progress report on the programmes and services, outcome management, etc.
• Conduct needs assessment survey if necessary.
• Initiate a case record file for every elderly household in the identified block and capture the needs of the seniors.
• Establish and motivate seniors to be active, healthy, interdependent and purposeful.
• Ensure that the activities and programmes of the centre promote a community climate of multi-racial tolerance, harmony and cooperation among residents.
• Network with other agencies to establish additional avenues of help for the welfare of the seniors.

2. Alert Alarm System

• Oversee and manage the Alert Alarm System (AAS) during the centre’s operating hours, rendering assistance when necessary.
• Establish a system to manage the AAS outside operating hours and ensures that help continues to be available when needed, including a system of recalling staff outside operating hours.

3. Volunteer Development

• Establish networks with local community-based services/ resources, such as grassroots, social services, corporate organisations and schools, to engage volunteers to help run or assist in the programmes, start income-generating activities, conduct outreach efforts etc., to match the needs of seniors.
• Recruit, interview and screen potential volunteers.
• Provide and coordinate orientation of volunteers to their assigned role and the mission and objectives of the centre.
• Place volunteers to suitable positions and areas of need, such as administration of CSQ etc.
• Supervise and support volunteers.
• Establish a system of recognition for the volunteers.
• Review and evaluate the volunteer programme to ensure relevance and to meet future needs.
• Serve as the key communication link between the centre and its volunteers.

4. Finance and Accounts

• Manage the monthly petty cash utilization of the centre.
• Implement checks and controls in the accounting system to ensure proper accounting records and also to safeguard against misappropriation of the centre’s assets.

• Diploma in social service or related discipline, with a social service background.
