Your responsibilities:

• You will support the organization in process improvement to continually increase the effectiveness of project execution, an Entry Professional (P1) applies broad theoretical job knowledge typically obtained through advanced education, typical conditions of the position like work are closely supervised, problems faced are not difficult or complex, explain facts, policies and practice related to job area, process adherence and application of project management methodology.
• You will define jointly with the Project Control department, all project plan documents, including scope and financial plans, schedule and risk management plans.
• You will ensure that the project follows execution best practices and Hitachi Energy policies, effectively monitor and control project progress and efficient resource utilization, monitor and control project financials, overseeing project invoicing status, cost, expenses and cash flow.
• You will identify, qualify, quantifies and manage risk, ensure that all opportunities are identified and pursued, capture, analyze and share lessons learned throughout the project.
• You will ensure that the project is formally closed out, as contractually agreed, drive the formal acceptance of the project, contract close-out and its acknowledgement by the customer.
• You will ensure that the project consistently apply contract and claim management, in accordance with Hitachi Energy policies and contractual agreements, coordinate with Supply Chain Management and successfully procure required services, materials and equipment for the project from external and internal suppliers.
• You will support Supply Chain Management in negotiation, claim and project change, act as key contact for the customer and an escalation point for project issues, build and maintain strong relationships with internal and external stakeholders and effectively communicates with all stakeholders, ensure the project follows and comply with company health, safety, and environmental policies.

Your role:

• Serve as a point of contact for internal and external stakeholders, addressing inquiries, concerns, and requests in a timely and professional manner
• Provide administrative support to project teams, including document management, meeting coordination, and communication facilitation
• Assist in project documentation, including drafting project plans, status reports, and meeting minutes
• Maintain accurate records and databases, ensuring data integrity and confidentiality
• Compile and analyze data, generate reports, and prepare presentations to support decision-making and business planning activities
• Monitor key performance indicators (KPIs) and metrics to track operational performance and identify areas for improvement
• Coordinate and facilitate internal meetings, workshops, and events, including logistics planning, venue arrangements, and catering services
• Assist in the implementation and execution of operational processes, procedures, and policies to ensure efficiency and compliance with organizational standards
• Collaborate with cross-functional teams to address operational issues, resolve conflicts, and optimize workflows
• Provide administrative support to senior management and department heads, including calendar management, scheduling meetings, preparing agendas, and coordinating travel arrangements

Requirements

• Minimum Diploma and above
• Prior experience in the marketing field will be an advantage

Your new role

• Provide project administrative support (e.g. scheduling, coordination and notetakingduties) for meetings, presentations and other project-related activities.
• Oversee the logistics for events, such as in-person workshops with partners.
• Assist in writing project updates and project reports
• Manage the procurement processes for external vendors, ensuring decisions aredocumented and in compliance with company policies.
• Support the Project Manager in tracking expenditure and contractual commitments; prepare a financial dashboard to provide project funders and stakeholders with regular and accessible updates.
• Support the project workstream leads with contracting processes and documentation work.

What you need

· University degree and/or business administration diploma. Open to fresh graduates as well.

· Experience in project management, office management or business administration, ideally gained in an international organisation, central bank, or private sector financial institution.

· High level of proficiency in MS Office applications (notably word, spreadsheet, presentation), email, and internet tools.

· Excellent organisational skills, including the ability to prioritise.

· Ability to pay attention to detail, meet tight deadlines, and stay calm under pressure.

· Ability to work in a fast paced, dynamic work environment, and work flexibly.

· Strong written and oral communication skills. Excellent written and spoken English.
