Job Purpose
· You will be helping students make better and more informed decisions about their lives after school through the experiences they receive in the BeyondClassrooms programme and the guidance from the GESS Alumni Network.
· The alumni and external relations officer executes programming, membership and communications to increase the involvement and engagement of alumni, students and the general community.
· This role supports the school’s outreach and partnership efforts with international and Singaporean organisations and community.
· The role will assist in the administration and management of the school’s flagship BeyondClassrooms programme.
Key Accountabilities
Alumni Management
· Accurately maintain the alumni records.
· Ownership of the annual alumni plan.
· Be the first point of contact for membership enquiries and answer all queries in a responsive and professional manner.
· Actively engage with alumni membership.
· Produce and maintain collateral, communication, newsletters and portal pages.
· Proactively seek alumni success stories and newsworthy articles for publication.
· Seek alumni for talks, presentations, mentoring and workshops.
· Plan and manage alumni events.
· Engage stakeholders and partners for alumni portal job postings.
· Conduct campus tours for alumni and Friends of GESS.
· Track and analyse engagement metrics to assess the effectiveness of activities.
Partnership Management
· Assist the head of external relations with partner management and administrative tasks.
· Cultivate and maintain positive relationships with existing partners.
· Monitor partners and feedback on any potential problems or risks.
· Contribute to the development of promotional activities for partnership initiatives.
· Engage with internal and external stakeholders to identify opportunities for collaboration and partnership.
· Report on partner and BeyondClassroom activities.
· Assist with events.
Reporting and other coordination tasks
· Produce a monthly alumni report.
· Generate ad hoc reports for assigned alumni and partnership portfolios.
Other tasks/ad hoc projects
· Supervision of video and photography events related to alumni or other assigned projects.
· Ad hoc publications and research.
· Tasks as assigned by the line manager.
Technical and Soft Skills
· Excellent CRM and Microsoft Office skills
· Excellent project management and organisational skills
· Strong interpersonal and communication skills and the ability to work effectively with a wide range of stakeholders in a diverse and international community
· Professional demeanour and strong ethics
· Proficient in written and spoken English
Knowledge and Experience
· Bachelor's degree in business, marketing, communications, or a related field
· Proven experience in partnership development, relationship management, or a similar role
· Experience in managing diverse stakeholders
· Able to effectively write newsletters, publications or professional social media content
