Job Requirements

· Candidate must possess at least a Diploma in Purchasing/Logistics or equivalent.

· Minimum 2 years of relevant experience in purchasing, procurement or logistics function

· Physically fit and able to work in cold room an advantage

· Excellent telephone etiquette, good written and verbal communication skills

· Ability to multi-task and work independently with minimal supervision

· Highly proficient in Microsoft Word, Excel, PowerPoint and Outlook

· Fluent in Japanese language (preferably JLPT1 speaking/writing) to liaise with Japan HQ and Japanese clients

· 5.5 days/week. Mon - Friday, 7.30am - 4.30pm; Sat 7.30am - 11.30am

Job Description

• Manage daily cash transactions, including time deposits, and maintain the cash register
• Efficiently process payments, receipts, and handle refunds as required
• Prepare and verify daily bank advices, ensuring alignment with cash transactions, and reconcile any discrepancies
• Support the Accountant with ledger entries and perform basic bookkeeping tasks
• Keep the GST register updated to facilitate seamless GST filing when receiving invoices
• Collaborate with Supply Chain and other departments to create purchase orders (PO) when needed
• Regularly maintain and update monthly exchange rates
• Support external audits and tax reviews as required

The Successful Applicant

• Diploma in Accounting/Finance, or equivalent
• Experience in handling cash transactions and basic bookkeeping
• Detail-oriented with high accuracy

The Role

You will be providing full secretarial and administrative support to the Executive Director and the Board. Some of the executive responsibilities include, but are not limited to, calendar management, coordinating meetings, preparing meeting agendas, and presentations, minutes taking, keeping track of deadlines and project progress, and contact databases etc. You will also be assisting with special projects and any other ad-hoc duties assigned by the senior executives.

Your Profile

You should have at least 3 years of proven experience in providing secretarial/ administrative support in a diversified environment working with different stakeholders. To succeed in this role, you should possess strong organisational skills that enable you to perform multiple tasks seamlessly and with attention to detail. You will also need to handle confidential information with discretion and will need to have great interpersonal and communication skills with a strong command of written and spoken English. Language capabilities will establish effective communication with a diverse range of stakeholders. The ability to be proactive, resourceful, independent and having a positive learning attitude will help you excel in this position.
