Job Description

• Develops, documents, and configures systems specifications that conform to defined architecture standards, address business requirements, and processes.
• Involved in planning of system and development deployment as well as responsible for meeting hardware and software compliance and security standards.
• Evaluates interface between hardware and software, operational requirements and overall system characteristics.
• Establishes and documents system design, parameters and formats, ensures hardware and software systems functionality, performance and compatibility, and coordinates and/or modifies system parameters in configurations, such as existing and projected computer capacity and capabilities.
• Actively identifies system functionality or performance deficiencies, executes changes to existing systems, and tests system functionality to correct deficiencies and maintain more effective data handling, data integrity, conversion, input/output requirements, and storage.
• May document testing and maintenance of system updates, modifications, and configurations.

Job Responsibilities

• Perform data entry of overseas suppliers’ invoices and invoices in foreign currency into accounting system.
• Ensure that all the invoices match with valid POs duly authorised before processing payments.
• Ensure that all invoices are approved by authorised personnel prior to processing payment.
• Perform data entry of payments in foreign currency.
• Perform data entry of overseas payments.
• Process cheque payments, TT payments, ACH payments & Giro payments timely
• Perform monthly AP reconciliation with vendor’s statement of accounts.
• Maintain Vendor master record and GST code.
• Maintain Directors’ travelling and phone bill records.
• Generate AP summary reports.
• Generate Import GST summary reports.
• Ensure all invoices and expenses of petty cash claims are complete and approved by authorised personnel prior to processing of payment.
• Perform data entry of petty cash claims.
• Process ACH payments for petty cash claims timely
• Any other ad hoc duties as assigned by supervisors.

Requirements

• Diploma in Accountancy or equivalent
• Minimum 3 years' experience in accounts payable function
• Experience in Navision accounting system preferred.
• Good in Microsoft Office
• High integrity, meticulous and initiative-taking
• Independent, self-driven with the ability to multi-task to meet deadlines.
• A team player with good interpersonal and communication skills

Key Responsibilities:

• Manage daily accounting operations, ensuring compliance with accounting principles and company policies.
• Expertly handle accounts payable and receivable, payroll processing, and assist in the preparation of financial statements.
• Monitor financial transactions and reports; process adjustments as needed.
• Perform monthly, quarterly, and annual accounting activities including reconciliations of bank and credit card accounts, coordination and completion of annual audits, and reviewing financial reports/support as necessary.
• Enhance and implement financial and accounting systems, processes, tools, and control systems.
• Serve as a key point of contact for external auditors during routine audits.

Qualifications:

• Proficiency in QuickBooks is mandatory.
• Exceptional attention to detail and precision in handling accounting data.

• Serve as the lead point of contact for all customer account management matters

• Regular review on compliance to statutory requirements.
• Supports and provides advice in structuring and developing the team to ensure smooth and efficient day-to-day Payroll operations.
• Liaise with internal and external auditors and/or tax agents on payroll related matters.
• Acts as contact point to institutional Finance and HR Partners closely to ensure organizational readiness and capability to deliver business results.
• Handle ad-hoc projects as and when requested.

Requirements

• Diploma/Degree in Business Administration/Commerce/Accountancy/HR or equivalent
• Minimum 5 years of relevant payroll experience with at least 2 years of supervisory role
• Meticulous with an eye for detail
• Strong interpersonal and communication skills
• Familiar with Employment and CPF Acts
• Ability to work in a high transactional volume environment
• Hands-on experience with SAP system and/or shared service payroll experience will be an added advantage
