Key Accountabilities

Commercial:

The Fund Administration Executive will achieve personal targets as set out for the role. He/she will support the Head of Fund Services in understanding and acting upon the profitability of client book and ensuring prompt collection of debt.

Risk:

The Fund Administration Executive takes responsibility for carrying on risk screenings on clients / related parties according to agreed policies and procedures. He/ she will also be responsible to provide relevant information to third parties (such as banks) for annual reviews.

The Fund Administration Executive should demonstrate understanding and awareness of client profile risks, transaction risks and escalate concerns to management, whenever necessary. He/she should keep up to date with changes in laws and regulations, company’s policies and procedures.

Knowledge and Experience

Professional and Technical Experience:

The Fund Administration Executive will demonstrate good theoretical and practical understanding of the day to day administration and regulatory requirements of investment funds, employer solutions trusts, and pension funds. Job Description

• Manage Accounts Payable (AP), Accounts Receivable (AR), General Ledger (GL), and full sets of accounts, including monthly and yearly closing processes
• Prepare monthly cash flow statements
• Prepare journal entries and perform data entry
• Ensure timely closing of month-end and year-end accounts
• Prepare account schedules
• Prepare and submit quarterly withholding tax and GST returns
• Assist in variance analysis, budgeting, management reporting, and inventory management
• Prepare financial statements for statutory and tax reporting purposes
• Liaise with external auditors, tax agents, company secretary, and banks
• Prepare monthly management reports
• Compile quarterly consolidation reports via portal
• Oversee the renewal of major export schemes
• Monitor monthly and yearly budgets
• Provide guidance to and review the work of two accounts assistants
• Perform other ad hoc administrative tasks as assigned

Requirements

• Possession of a Diploma in Accountancy or an equivalent qualification, such as ACCA
• A minimum of 7-10 years of experience in a Manufacturing industry, ideally in a supervisory capacity
• In-depth knowledge of IFRS
• Demonstrates integrity and professionalism, commitment to accuracy, combined with strong analytical skills to identify, address, and recommend improvements to management
• Proficiency in English, including reading, writing, and speaking
• Able to work under pressure with the ability to prioritize tasks effectively
• Proficiency in Japanese to communicate with Japanese employees is advantageous

Duties and Responsibilities

• Manage the serviceability of the IT-related software services supported by external service providers
• Maintain and improve the performance of existing software to ensure its functionality
• Evaluate, troubleshoot, debug and upgrade existing software based on users’ feedback
