Job Summary

The Hospital Operations Manager is responsible for overseeing the critical operational functions of the hospital, including linen and laundry services, food services, bed management, claims management, and project management. This role is integral in ensuring that all services operate efficiently and effectively, contributing to an exceptional patient experience while adhering to regulatory requirements, including the Personal Data Protection Act (PDPA). The manager will work collaboratively with multidisciplinary teams to drive operational excellence, manage vendor relationships, and oversee budgeting and financial management.

Responsibilities

1. Linen and Laundry Management

• Oversee all aspects of linen and laundry services, ensuring timely processing, distribution, and cleanliness of linens.
• Implement best practices for inventory management and track linen usage to optimize costs.

2. Food Services

• Collaborate with the food services team to develop and implement menus that meet dietary requirements and enhance patient satisfaction.
• Monitor food safety and quality standards in compliance with health regulations.

3. Bed Management

• Manage bed occupancy and availability, coordinating with nursing and admissions staff to streamline patient flow.
• Implement strategies to reduce bed wait times and optimize bed turnover.

4. Claims Management (Senior Mobility & Enabling Fund, One-Rehab, Medifund, Medifund Silver, Financial Assistance Scheme)

• Supervise the claims processing team to ensure accurate and timely submissions to agency.
• Work with relevant departments to resolve issues and improve work process efficiency.
• Analyze claims data to identify trends and areas for improvement.

5. Hospital Inspection: (Liaison Officer between MOH and SACH)

• Conduct regular inspections and audits to ensure compliance with healthcare regulations and standards.
• Prepare for and facilitate external accreditation and inspection processes.

6. Project Management

• Lead cross-functional projects aimed at improving operational efficiency, patient care, and service delivery.
• Develop project plans, timelines, and budgets, ensuring projects are completed on schedule and within budget.

7. PDPA Compliance

• Ensure all operational practices comply with the Personal Data Protection Act, protecting patient information and privacy.
• Conduct regular audit for staff on data protection policies and best practices.

8. Management Meeting

• Provide essential secretariat support for management meetings, ensuring effective communication, documentation, and follow-up on operational initiatives.
• Involve collaborating closely with leadership and various departments to facilitate discussions that drive strategic decisions and enhance overall hospital performance.

9. Collaboration with Multidisciplinary Teams

• Foster a culture of collaboration among clinical and administrative teams to enhance patient care and service delivery.
• Participate in interdisciplinary meetings to address operational challenges and develop solutions.

10. Procurement of Services & Vendor Management:

• Oversee the procurement process for services related to Linen, Food Services, and other operational needs.
• Develop and maintain relationships with vendors and service providers, ensuring quality and cost-effectiveness.
• Evaluate and negotiate contracts and service agreements to ensure quality service delivery and cost-effectiveness securing optimal terms for the hospital.

11. Staff Management

• Recruit, train, and develop staff, promoting a positive work environment and encouraging professional growth.
• Conduct performance evaluations and provide coaching to enhance team performance.

12. Budgeting and Financial Management

• Develop and manage operational budgets, ensuring alignment with organizational financial goals.
• Monitor expenditures and implement cost-control measures to maintain financial stability.
• Leverage data analytics to inform and guide operational decisions within the healthcare facility. This position focuses on analyzing performance metrics, identifying trends, and implementing data-driven strategies to enhance efficiency, patient care, and overall hospital performance.

Requirements

1. Business Development and Corporate Relations

• Initiate, develop and establish long-term partnerships with companies in the Banking and Finance sectors in coordination with the overall business development strategy of NUS Business School BIZCareers, and in alignment with the needs and strengths of the Business School students
• Foster partnerships and increase opportunities through continuous, targeted engagement with corporate partners. This includes the organization of recruitment presentations and networking sessions, as well as customized initiatives to meet the hiring needs of the organization.

2. Career Guidance

• Provide effective and timely career advice to our students on career options, resume and cover letter critique, development of job search strategies and interview preparation and clinics
• Develop relevant and practical industry guides, contents and deliver presentations on the sectors coverage, to provide students with the latest updates on the hiring trends, and what they should do to secure a good job offer

3. Training and Development

• Identify and organize relevant workshops and trainings to ensure that our students develop skills needed to grow their careers and conduct effective job searches

Qualifications

Reporting Manager:

Head of Development, NUS College

Duties and Responsibilities:

• Gift Management and Administration
• Develop and manage policies and procedures for the Development Office.
• Oversee the department’s gift fund registry.
• Oversee all aspects of gift processing at the College.
• Ensure that all donors are thanked in a timely manner for their gift to the College.
• Liaise between internal stakeholders to ensure gift requirements are fulfilled and funds are utilised in accordance to the gift purpose.
• Manage all physical and online mailing lists.
• Provide general administrative support to the Development Office as required.

Data Management

• Manage all aspects of donor and prospect database and serve as the department’s point person for all data management matters.
• Liaise with NUS Development Office on matters as it relates to the database from running reports, customised dashboards as well as data warehouse.
• Oversee all resources as it relates to giving-related statistics.

Prospect Research

• Assist in identifying and qualification of prospective major gift donors.
• Manage a coordinated prospect research effort including organising, tracking requests and conducting primary research.
• Collaborate closely with the Head of Development on developing cultivation plans for prospective donors.
• Oversee and manage the donor pipeline.

Gift Stewardship

• Lead in managing all aspects of the donor stewardship piece including donor reporting schedule, donor engagement and donor communications.

• Liaise with internal stakeholders to collect and track information on impact of philanthropic gifts.

Event Management Support

• Collaborate closely with the Senior Manager to manage all aspects of virtual and physical donor events – inclusive of budgeting, project scheduling, programme development, venue sourcing, preparing administrative briefs and ensuring a smooth programme for internal and external stakeholders.
• Coordinate event invitations as well as communication to donors, etc.

Development Communications Support

• Assist the Senior Manager in developing stories and content to engage community, donors and stakeholders. This includes social media, videos, collateral and website management.
• Design and craft proposals that align with the funding priorities of the College.
• Collaborate with the Development and the Communications team to compile an annual Giving Stories booklet.
• Manage the NUS College’s Giving email.

Major Gift Support

• Manage all back-end aspects of moving donors through the donor cycle.
• Collaborate with the Head of Development to develop cultivation and stewardship plans for prospects/ donors.
• Track progress on key milestones of cultivation and stewardship plans.
• Provide support for all major and principal prospect / donor meetings - including preparation of administrative briefs, booking venues, set up and tear down.

Outreach Matters

Qualifications

What the role is

The Operator Tenancy Management Department (OTMD) is the operation arm of the Operator Management Division (OMD) that oversees the management of new hawker centres (known as aka Socially-conscious Enterprise Hawker Centre (SEHC)), as well as a bundle of existing hawker centres. OTMD works closely with appointed operators and Managing Agent (MA) to ensure smooth management and operations of the hawker centres.

What you will be working on

The main job responsibilities of this position are as follows:

• Oversee a portfolio of 2-3 hawker centres managed by Operator/MA
• Oversee and manage contract and tenancy agreement signed with Operator/MA to ensure compliance and alignment with national hawker policies
• Monitor performance of Operator/MA and carry out audit inspections on Operator’s/MA’s performance
• Monitor and review report submissions by Operator/MA (monthly, quarterly, etc)
• Manage feedback from feedback providers professionally, including report writing, to ensure that their feedback is being addressed or resolved promptly in accordance with NEA’s service standard
• Work with Operator/MA to respond to incident-reporting, emergencies or service disruptions within service standards and put up such reports to management in a timely manner
• Maintain the tenancy records of the portfolio of centres and upload tenancy records prepared by the Operator/MA into the Hawker Centre Management System on a monthly basis
• Certify void reports (for centres with vacant stalls) to be sent to respective Town Councils on a monthly basis
• Certify invoices such as fees to Operator/MA to be paid on a monthly basis
• Prepare reports, papers and presentation materials as well as present to senior management and stakeholders where necessary
• Apart from Operator/MA, stallholders and Hawker/ Merchant Association, to engage government agencies, partners, and stakeholders such as grassroots leaders, Advisers, and Town Councils as and when required
• Any other tasks assigned
