Your day to day

Under the general direction of the Assistant Rooms Division Manager, support and oversee the daily operation of the Front Office team to ensure all guests receive a consistent luxury experience. You will be required to coordinate with all other departments within the hotel to ensure a seamless guest experience is consistently delivered.

PEOPLE

• Assists the department in planning for future staffing needs
• Assist the Assistant Rooms Division Manager in recruiting in line with company guidelines
• Prepares and administer detailed induction program for new staff
• Assists in maintaining a comprehensive, current and guest focused set of departmental standards and procedures and oversee their implementation
• Ensures training needs analysis of Front Office is carried out and training programs are designed and implemented to meet needs.
• Provides input for probation and formal performance appraisal discussions in line with company guidelines
• Coach, counsel and discipline staff, providing constructive feedback to enhance performance
• Regularly communicate with staff and maintain good relations.
• Cooperate, coordinate and communicate with other hotel departments as required
• Supervise and directs Reception personnel.
• Monitors appropriate standards of conduct, uniform, hygiene, and appearance of staff.

GUEST EXPERIENCE

• Assist Guest Relations in greeting, rooming, and sending off VIP guests.
• Ensure VIPs, InterContinental Ambassadors and IHG Rewards Club Members receive special attention
• Responds to guest needs and resolves related problems
• Reacts to situations to ensure guests receive prompt attention and personal recognition throughout the hotel
• Build and maintain positive relationships with all internal customers and guests in order to exceed their needs.
• Take action to address these needs in order to exceed their expectations and or resolve any problems.
• Create a positive hotel image in every interaction with internal and external customers
• Actively work to ensure the department and team adhere to hotel brand standards
• Maintain a high level of product and service knowledge in order to explain and sell services and facilities to guests
• Assist guests and escort them to locations within the hotel at their request

• Maintain current Hotel information to be able to provide information to guests

RESPONSIBLE BUSINESS

• Reports directly to and communicates with the Assistant Rooms Division Manager on all pertinent matters affecting guest service and hotel operations.
• Inspects front of house and back of house regularly for cleanliness.
• Provides input for Front Office meetings.
• Checks billing instructions and monitors guest credit
• Analyses and approves discounts and rebates.
• Analyses the rate variance report to ensure rooms revenue control
• Takes action with the Property Management Systems (PMS) in emergency situation.
• Fully conversant with all hotel emergency procedures.
• Ensures front line staffs comply with FIT marketing techniques and maximize sales.

Service Manager Responsibilities:

• Delegating and directing service tasks, monitoring the progress of current projects, and managing service team members to ensure the team's objectives and sales goals are met.

• Handling customer complaints or concerns quickly and professionally to maintain good customer relationships and ensure repeat customers.

• Assisting with or performing administrative tasks, such as managing and updating invoices, processing new orders, and tracking inventory.

• Setting up and maintaining a service desk and evaluating its efficiency.

• Resolving service desk problems and improving service methods to increase the service desk's productivity and customer service.

• Monitoring department issues and client complaints to create methods to lessen recurring issues.

• Auditing work and customer service to ensure the company's high standards, efficiency, and productivity goals are met.

• Maintaining strong relationships with manufacturers, dealers, and sales representatives.

• Helping to train new employees in company procedures.

• Maintaining a strong working knowledge of industry regulations, restrictions, and laws, ensuring the company's adherence to these regulations, and remaining current on the industry's standards and new innovations, materials, tools, and processes.

Service Manager Requirements:

• A bachelor's degree in business, administration, or related field.

• Previous sales and management experience may be advantageous.

• Strong industry knowledge.

• Excellent leadership, communication, sales, and customer service skills.

• Computer literacy and good organizational skills.

• Strong creative thinking and problem-solving skills.

• The ability to work under pressure and handle stress.

Have Certificate of Employment Intermediaries (CEI)

• Prepare all the cost estimates for Marine/Coastal Tender Projects.
• Review upstream contract terms and identify possible risks and opportunities related to the application of contract clauses.
• Calculate quotations from specialists/sub-contractors, prepare competitive comparison for cost committee prior for negotiation and award contracts.
• Assist in negotiation of contract terms and assessment of contract proposals.
• Draft and issue contracts and agreements (between customers and the company, with Sub-Contractors and Suppliers).

Requirements:

• Degree in Quantity Surveying or equivalent
• At least 8 years of contract management experience in Marine/Coastal Projects.
• Hands-on experience from pre-contract stage to post-contract stage.

Job Responsbilities:

Managing all aspects of operations of dry bulk vessels including but not limited to:

- Declaring all charter-in vessels with the club insuring charterers’ liability and FD&D risks

- Preparing and sending voyage instructions, maximizing cargo intake (under voyage charter), appointing agents and surveyor

- Arranging bunkering and paying the bunker bill.

- Paying hire/port disbursements/bunker price, collecting freight and calculating laytime.

- Ensuring M/R, Bills of Lading, SOF etc are correctly issued

- Anticipating problems in advance and take proactive actions to achieve the most cost-effective result.

- Responding to any problems arising and taking appropriate corrective measures.

- Solving disputes commercially or legally as needed

Candidate Requirements:

Maritime degree at least at Bachelor level (shipping operations etc).

Substantial operational experience in dry cargo.
