Spa Executive

Summary of Responsibilities:

The main responsibilities and tasks of this position are as listed below, but not limited to these:

• Co-ordinate all administration duties pertaining to spa colleagues including medical reports, leave matters
• Application/renewal of spa licenses for Spa and employees from government authorities
• Prepare and compute treatment commission for all therapists
• Prepare and collate monthly reports – accruals, retail sales reports, inventory stock take
• Plan and organize team building events, department celebrations
• Handle the ordering of professional and retail spa products, stationery and operating supplies (guest amenities etc.) for the Spa
• Liaise with Purchasing Department and suppliers to ensure prompt delivery of supplies for smooth spa operations
• Maintain guest amenities’ inventory at par level
• Retail management–organize retail display to maximize sales, source for new partners to expand retail offering
• Assist guests/members when required at the spa reception in a professional manner in terms of treatment bookings, general enquiries
• Adjust service to suit guests’ requests, personalised to meet their needs

Qualifications

• Diploma in Business Administration, Spa & Wellness or relevant discipline
• Minimum 1 year of administrative experience, preferably in a hospitality or spa environment
• Working knowledge of Microsoft Outlook, Mircosoft Office
• Good interpersonal skills with ability to communicate with all levels of colleagues
• Service oriented with an eye for details
• Ability to work effectively and contribute in a team
• Good presentation and influencing skills
• Flexible and able to embrace and respond to change effectively
• Ability to work independently and has good initiative under dynamic environment

• Primarily responsible for full sets of books and of preparation of month-end financial results
• Responsible for the month-end close process by preparing entries related to General Ledger as well as reviewing postings made by Executives relating to Accounts
• Receivable & Accounts Payable. Responsible for accruals run via system every month-end.
• General Ledger - maintains and updates the General Ledger; prepares balance sheet schedules and ensures overall upkeep of the accounting system relating to exchange rates, accounting periods and debtors/creditors records.
• Audits – prepares all necessary schedules/reports as required by external/internal auditors, attend to their queries and prepare draft audited Financial Statements annually
• Support the review, implementation and improvement of systems, processes and controls
• Reviews cashflow projections every weekly
• Prepare draft replies to compliance queries from bank as well as handle KYC requests received
• Provide guidance to 1-2 Accounts Executives
• Work closely with Operations team based in SIN and overseas offices
• Any other duties as assigned from time to time

Requirements:

• Minimum Degree in Accountancy with 4-5 years of relevant experiences
• Strong understanding in systems and strong excel skills
• Must be a Team player and good interpersonal skills
