The main responsibilities of the role will include (but not limited to):

Client and relationship:

· Act as a point of contact for the clients on their day to day affairs, with supervision where necessary, and ensure that all communication, whether written or spoken in a professional manner;

· Maintain good relationship with clients;

· Respond to and deal with client queries in a professional and timely manner

· Ensure that the manager is kept up to date with any issues arising from the client or itsactivities

Service provision:

· Prepare financial data for entry into the accounting system

· Ensure all receipts are updated in the accounting system on timely basis

· Handle the banking of cheques into bank accounts on timely basis

· Handle accounts receivables and accounts payables

· Prepare bank reconciliation and audit schedules

· Prepare monthly payslips for payroll purpose

· Handle account closing up to the monthly trial balance, income statement and balance sheet

· Handle quarterly Goods and Services Tax filing

· Handle corporate secretarial documents and annual return filing

· Compilation of accounts or reports (preparation of unaudited report)

· Liaising with external auditor

· Handle corporate tax computation and tax return filing

· Perform other ad-hoc duties as assigned

Requirements

· Minimum Diploma/Degree in Accountancy/Finance;

· Fresh graduates are encouraged to apply.

• Communicate closely with warehouse to supply stock to the shop floor and ensure various categories of product are delivered together especially the crucial units for each season.
• Work closely with Director to monitor weekly stock levels by category and product to identify the fast / slow moving items.
• Work out the weekly targets of various product categories to achieve the budgeted salesand sell-through.
• To ensure accurate retail prices are logged into Purchase Orders, once confirmed by Director.

Operational

• To accomplish Monthly stock takes in warehouse and retail outlet
• Assisting in stock analysis, determine markdown, documentation to transfer stock, assist in set-up and pack-up and operation of the sale.
• Receiving of stock from shipment, organize and store inventory in the proper location
• Ensure in-coming stock arrivals are up-to-date and communicated to related departments
• Run weekly/monthly reports from system to detect stocks processing irregularities
• Assist with day-to-day operations of the E-commerce operations, such as order fulfilment, inventory management, customer enquiries and web-site development.
• To collect weekly and monthly reports from outlets in order to update weekly sales report to generate sales analysis and reports to principal suppliers.

Purchase Orders

• Transferring of Buy orders into warehouse purchase orders on a timely basis.
• To create Buy Status Report and update regularly.
• To key in orders accurately upon receipt of order confirmation.
• Ensure copies of confirmed orders are distributed to the respective outlets, prior to opening of each season.

Proforma Invoices / Order Confirmation / Cancellations

• Collate customers request on product requirements and preferences in order to decide future purchases and quantity.
• Processing adhoc changes by clients relating to their orders
• To ensure all P/F invoices correspond with original order and liaise with Accounts for necessary payment.
• To pre-alert warehouse / outlets or any noted cancellations.
• To liaise with warehouse to control excess stock / short shipments and alert suppliers / outlet accordingly.
• To prioritize clearance of shipments from warehouse to stores.

Damaged Stocks

• To handle all store complaints regarding stocks received – workmanship, customer returns etc.
• To inspect defective stocks to ascertain extent and cause of damage.
• To correspond with supplier, negotiating for claim of full credit or replacement as necessary.
• To keep track of damaged stock form numbers for each outlet for accounting purpose

Client relationship management

• Build strong and effective relationships with both internal and external clients and their teams.
• Support lawyers in marketing activities, such as researching and obtaining client information and data, as well as involvement in preparation of pitches and presentations and hosting of client events.
• Support the internal business development team by undertaking an event secretary role, managing the e-alert process, assisting with legal directory administration and delegating tasks appropriately.
• Proactively maintain and update the client relationship management system, ensuring any follow-ups are actioned.
• Attend and contribute to team meetings as required, detail and progress action points as appropriate.

Financial

• Ensure all new client/matter onboarding processes are completed accurately and proactively, following up as appropriate and adhering to risk and compliance requirements at all times.
• On a weekly basis, produce and review Intapp new matter report to ensure all new matters are cleared for billing, following up to action as appropriate.
• Coordinate and action the production of accurate compliance documents (including drafting engagement letters, critical information and collection proforma etc.).
• Attend and actively participate in WIP and credit control meetings, undertaking and driving actions as agreed.
• Produce and review WIP reports, identifying matters for billing, write-offs, debtors, client credits and to identify matters that can be closed.
• Manage partners' billing processes: agreeing billing dates, gathering disbursements, initiating prebills, complete billing checklist (to include: time transfers, write-offs, applying discounts, returns to WIP, producing drafts and updating Expert as appropriate). Submitting prebills for approval.
• Prepare covering emails/letters and ensure completed invoices are dispatched in a timely manner and uploaded into delivered bills.
• Use Aderant to assist fee earners with financial queries, producing reports if required.
• Ensure disbursements and all client payments are processed accurately, having completed all relevant pre-checks.
• Undertake client audits and prepare draft documentation.
• Ensure expenses, receipts and contact reports are completed, uploaded and filed appropriately.
• Chase bills at fee earners' request and monitor fee estimates.

Communication

• Act as gatekeeper for fee earners, taking appropriate messages (including via telephone and email) and ensuring they are passed on/followed up appropriately.
• Use own initiative to manage post and email accounts: screening, prioritising and dealing with incoming emails and post in fee earners absence; develop and maintain systems to promote efficiency.
• Draft high quality correspondence, engagement letters, documents, agendas, presentations and spreadsheets or other (non-legal) correspondence on behalf of fee earners, actioning responses if appropriate.
• Manage fee earners calendar to ensure meetings are sufficiently spaced out and, if in person, are scheduled for days when the fee earner is in the office.

Document and File Management

• Proactively delegate document production and dictation transcription to appropriate resource, providing appropriate timeframes for work and checking returned work if required.
• Actively file documents appropriately within iManage, ensuring compliance with the Stephenson Harwood naming convention policy.
• Follow the Records Management policy and procedure, undertaking regular management of files and papers for fee earners, ensuring all documents are recorded electronically and recording original documents in the Records Management system prior to off-site storage. There is a clear desk policy and original documents should always be locked away before leaving the office.
• Undertake regular file reviews, closing finished matters when appropriate.

Additional Responsibilities

• Engage with your fee earners more extensively by proactively supporting them to be more efficient and effective in their jobs, identifying areas of responsibility and tasks to take ownership of.
