EXECUTIVE ASSISTANT

Overview

The Executive Assistant is responsible for independently performing a wide range of complex and confidential administrative and clerical support duties,

He/She shall primarily assist the Management Team, Asia Pacific

Roles & Responsibilities

· Responsible for secretarial and administrative support to the Management Team in Asia.

· Serve as the primary communicator for the Management Team, prepare resources and presentations, create agendas, documents meeting minutes, and ensure timely completion of action items.

· Generate vital reports, analyze data, and communicate trends to the Executive Director.

· Assist in preparing and managing presentation materials and reports.

· Handle expense reimbursements for the Management Team

· Maintain proper documentation and filing records.

· Provide HR support

· Assist in handling any ad-hoc assignments as required

· Support with documentation

Qualifications

Education Level

Degree/ Diploma in Business or related disciplines

Proficient in MS Office

Experience

Minimum 2+ years relevant experience in a multinational company

Work Information

We’re looking for an Accounts Executive to be responsible for the day-to-day accounting & finance function within the company

• Perform daily accounting & finance duties including receivables and payables processes, general ledger, tax and bank reconciliation, etc.;
• Prepare monthly financial and management reports for subsidiaries;
• Consolidate accounts and ensure compliance with accounting standards;
• Assist in group consolidation reports;
• Support audit and tax queries;
• Liaise with banks on banking transactions;
• Manage timely closing process and reconciliations, including for intercompany transactions;
• Support the operational teams in maintaining strong vendor relationships.
• Proficient in preparing comprehensive financial statements to be presented at Annual General Meetings (AGM), demonstrating a keen understanding of financial reporting standards and a meticulous attention to detail.

Requirements

• Diploma or Bachelor's in Accounting & Finance or equivalent;
• At least 3 years of experience in accounting & finance;
• Strong understanding of accounting principles;
• Ability to work in a dynamic environment;
• Ability to work independently with a high degree of accuracy and efficiency;
• Hands-on experience in Enterprise Accounting systems would be an advantage

Job Description

· Perform duties in various sections of the company’s operations

· Acquire knowledge of the company’s outlet operation by rotating in each position;

· Oversee stock management and coordinate supply orders

· Acknowledge and achieve performance goals and objectives defined by management.

Custom Brokerage/Declaring Agent

- HQ office located at Taiseng, near with Taiseng MRT

- Desk bound job.

- Perform customs permit declarations in an accurate and timely manner with full compliance.

- Follow up on daily shipment holds and find solutions in a timely manner to process the customs clearance

- Preparing airfreight/seafreight shipping documents for both import and export.

- Attending to customers enquiry and feedback via physical contact, email, phone calls and maintaining an excellent rapport with customers.

- Prepare and provide various reports in a timely manner to meet customers’ timelines

- Keeping the customers notified of all relevant customs circulars, notices and updates as received.

- Reviewing internal team performance, operational work processes established and implementing necessary control measures for continuous improvement.

Requirements:

- 5.5 working day, alternate Saturday

- Proficient in using computers and Microsoft Office

- Possess good work ethics and positive working attitude

- Able to handle pressure & adapt in a fast-pace environment

- Demonstrate an eye for details and ability to prioritize urgent tasks

- Expect overtime on a regular basis
