This position plays a key role in managing daily administrative tasks and ensuring the smooth operation of the facility. The ideal candidate will possess prior experience in administrative roles, preferably within a leisure or sports setting.

JOB SPECIFICATIONS:

• Diploma or degree in Business Administration, Management, or a related field
• Minimum 2 years of administrative experience, preferably in the leisure, sports, or hospitality industries
• Strong organizational and multitasking abilities, proficient in MS Office (Word, Excel, Outlook), excellent communication skills with a focus on customer service
• Friendly, proactive, thrive in a fast-paced environment, and able to work independently as well as part of a team
• Ability to manage confidential information with discretion, maintaining professionalism and attention to detail

CORE RESPONSIBILITIES:

• Oversee daily administrative operations to ensure efficient functioning of the facility, including managing records of memberships, transactions, and inventory with a focus on accuracy and confidentiality
• Liaise with vendors and suppliers for timely procurement of supplies and services, and assist in tracking and ordering office supplies and equipment
• Coordinate appointments, meetings, events, and special promotions to enhance customer engagement and retention
• Handle customer inquiries, bookings, and complaints, ensuring excellent service at all times
• Prepare reports and presentations for management, and assist with invoicing, processing expense reports, and maintaining financial records
• Support adherence to company policies and manage regulatory documentation as needed
• Provide administrative assistance for staff and management as required

Position Overview:

We are looking for a Bookkeeping Accounts Executive to join our finance team. In this role, you will be responsible for maintaining accurate financial records, processing transactions, and ensuring compliance with accounting regulations. You will play a crucial role in supporting our financial operations and helping to achieve our organizational goals.

Key responsibilities:

• Reporting to the General Manager
• Maintain accurate and up-to-date financial records, including ledgers, invoices, and receipts.
• Able to read, prepare, manage, use and interpret financial books.
• Process accounts payable and receivable, ensuring timely and accurate payment of invoices.
• Perform regular bank reconciliations and resolve discrepancies in financial records.
• Assist in the preparation of monthly, quarterly, and annual financial reports for management review.
• Help track and monitor budgets, providing insights on variances and financial performance.
• Ensure compliance with accounting standards and regulatory requirements.
• Assist with internal and external audits by providing necessary documentation and explanations.
• Work closely with the General Manager to provide financial insights and support operational decisions.
