PI Construction Pte Ltd, being a construction company and a member of the GPG Group, is looking for an IT Executive to join our company to support our growth and expansion in Singapore and overseas.

Responsibilities

· Manage IT requests and provide IT support to our group companies and head office in Hong Kong and ensure all IT tickets are responded to and resolved in a timely manner.

· Plan and conduct regular checks, analysis, diagnosis and troubleshooting for all GPG Group premises to ensure all software and hardware are up to date and effective, so as to prevent any possible disruptions in daily operations.

· Assist with the review, update and implementation of IT policies, SOPs and processes based on departmental needs, to minimise vulnerabilities, boost productivity and increase efficiency of IT systems and processes.

· Set up and maintain drives for all regular IT-related SOPs, guidelines, accounts, inventory and records, as well as other related information for IT Team and key stakeholders’ reference.

· Conduct research and maintain up-to-date understanding of the latest threats, vulnerabilities, mitigation, IT security, industry best practices, regulations.

· Provide all GPG staff with the necessary IT equipment and access to relevant company resources. Maintain and update an inventory for all IT equipment and access information.

· Perform installation, setup, configuration, migration, upgrading and testing of software applications, IT equipment and network.

· Provide IT support for company events (e.g. Town Hall Meeting and Staff Annual D&D events, etc).

· Other IT related tasks and scopes.

Requirements:

· Possess at least a Diploma (preferably IT, Computer Science, or a related discipline).

· Fresh graduates are welcome to apply. For Senior IT Executive, at least 2 years’ experience in the IT field in a relevant role is required.

· Responsible and solution-oriented.

· Ability to use Google Workplace (Sheets, Forms, App Script etc). Familiar or able to efficiently learn to handle current IT system in the company and devices.

· Able to organise tasks and work efficiently to meet tight deadlines with minimum supervision.

· Technically savvy and self-motivated learner.

· Possess excellent communication and task management skills.

· Proficiency in spoken and written Mandarin is a plus as future work will involve collaboration with international teams based in other countries in Asia.

Work Hours and Location:

· Work Days: 5-days work week (Need to be on stand-by for emergency calls by support to staff working 8.30am-12noon on Sats)

· Work Hours: Weekdays: 8.30am – 6.00pm

Position Objective

Work closely with Head of Camp Asia and Camp Asia Manager to ensure comprehensive support across both year-round Academy businesses and seasonal Holiday Camps. Support includes administrative work, event management, procurement as well as basic finance and recruitment for Camp Asia’s Academy and Holiday. Responsibility also includes monitoring net income after expenses for Academy and balance between revenue optimization and expense control.

Primary Responsibilities: Camp Asia Academy

Operations:

• Coordinate with school Athletics, Swimming, Facilities, Maintenance, Security, AV, and IT departments to ensure smooth running of holiday camps and weekly programmes.
• Logistical support during Academy: individual Academy set-up, registration area set-up and the management of event staffs/teaching assistants
• Proactively handle any arising issue and escalate any emerging problems to the Camp Manager/Head of Camp.
• Propose ideas to improve the quality and smooth-running of Academy operations.
• Designate and manage roster/schedule of event staffs/teaching assistants.
• Work closely with Academy coaches/Camp Manager/Head of Camp to ensure the camp experience is of the highest quality.
• Manage Academy website including ‘live’ calendar to display black-out dates and events etc.

• Customer Service:

• Communicating information pertaining to bookings made for Academy Programmes to parents.
• Provide exceptional customer service ensuring all enquiries via telephone, email and face-to-face are acknowledged and answered with speed and professionalism.
• Support customers with the online booking process and Academy enquiries.
• Ensure accurate and up-to-date knowledge of Camp Asia’s offerings & USPs
• Continuously work to move enquiries into bookings, always providing high level of customer service.
• Investigating and solving customer’s problems with bookings, dealing with customer complaints and parent concerns.
• Track termly ‘black-out dates and email customers about changes/postponements every week.

Administrative:

• Provide termly attendance sheets for each session of each Academy to share with coaches.
• Manage Academy website including ‘live’ calendar to display black-out dates and events etc.
• Handling all count totals for camps and Camp Academy programmes.
• Collaborate with Marketing Executive to ensure brand awareness of each Academy programmes.
• Track invoices and timesheet from all partners and coaches
• Complete P&L statements for each Academy term

Secondary Responsibilities: Camp Asia Holiday Camps

• Work closely with Camp Asia Manager and Operations Executive to provide logistical support for Camp Asia holiday camps.
• Logistical support during holiday camps: individual activity set-up, registration area set-up and the management of event staffs/teaching assistants and more
• Work closely with the Customer Service team to provide customer service support for Camp Asia holiday camps.
• Continuously work to move enquiries into bookings, always providing high level of customer service.

Position Requirements

• Enjoy working with children in a school/camp environment.
• Strong verbal and written communication skills
• Ability to multi-task, work independently and as part of a small and dynamic team.
• Good Microsoft office skills especially Excel
• Strong Customer Service/ Sales experience with the ability to convert customer enquiries to sales.
• Able to work on weekend to reply to enquiries, emails, and phone calls and for events and weekly weekend programs.

• Degree or Diploma qualifications
• At least 2 years’ experience in office administration and events management

Terms of Employment

• Working Hours: 9.00am – 6.00pm, Mondays to Friday 9.00am – 1:00pm, Alternate Saturday
• Holiday Camp: 7:30am – 4:30 pm, Monday to Friday (up to 16 weeks/year)
• Annual Leave: 15 days

Job Responsibilities:

• Process customers' sales order via SAP system.
• Monitor sales order status and coordinate with internal stakeholder to ensure a smooth delivery to client in a timely manner.
• Handle export shipments for intercompany and overseas customers.
• Prepare the shipping document for local and export shipment.
• Support in investigations of internal / external complains to identify root cause and provide solutions.
• Ensure hazardous substance license from local customers are valid and adhere to the regulation set by NEA and SPF.
• Ad-hoc duties assigned by supervisor.

Responsibilities

• To manage the day-to-day administrative functions of the Finance Department Accounts Receivables.
• Follow up with customers to encourage timely payments.
• Handle full functions of AR in Finance Department.
• Timely and accurate processing of sales invoices to customers.
• Process all receipts and keying into SAP on a daily basis.
• Follow up on outstanding payments and coordinate with customers to resolve any payment discrepancies.

Requirements

• Minimum Diploma or equivalent professional qualification in Finance/ Accountancy.

• Good proficiency in Microsoft Excel.

• Meticulous, initiative, ability to work independently, possess an analytical mind, well-organised, multi-tasking and a good team player.
• Able to work under pressure and fast-paced environment.
• Proficient in both English and Mandarin.
