JOB PURPOSE

Provides professional services on corporate secretarial matters for a portfolio of clients, including incorporating and managing corporate structures. This role may require managing a team, and assisting the Manager or Director to streamline processes, increase revenue & productivity and enhance staff morale.

KEY RESPONSIBILITIES

• Manage a portfolio of clients by providing full set of corporate secretarial services;

• Ensure compliance with the Companies Act, Listing Rules and other regulatory and statutory requirements; Maintain good relationship with clients;

• Build opportunities for additional services providing to existing clients;

• Assist in maintaining smooth operation of the team;

• Supervise and review subordinates’ work including performance review and progresses

JOB SPECIFIC REQUIREMENTS

• Degree holder; member of ICSA;

• Minimum 6 to 8 years’ relevant experience gained from professional firms/CPA firm/law firm ;

• Prior experience in client servicing environment is an advantage;

• Good knowledge of corporate secretarial practises and be familiar with Companies Act and regulations of regulatory bodies;

• Intermediate knowledge of Viewpoint is preferred.

• Excellent command of both spoken and written English.

The Sales Supervisor at The Winery will lead the team to meet and exceed revenue goals while ensuring an exceptional guest experience. This role focuses on managing and motivating the sales team, building strong client relationships, and implementing strategic sales initiatives to increase restaurant traffic, reservations, and event bookings.

Key Responsibilities:

· Develop and maintain relationships with key clients, local businesses, and event planners to drive reservations and event bookings.

· Handle escalated customer inquiries and resolve issues to ensure high levels of guest satisfaction.

· Engage with VIP clients and foster loyalty by offering personalized service and exclusive offers.

· Implement and oversee targeted sales initiatives to maximize revenue from restaurant services, catering, private dining, and special events.

· Collaborate with marketing to create promotional materials, special packages, and seasonal offers.

· Analyze sales trends and adjust strategies to maximize bookings during peak and off-peak times.

· Track and report on daily, weekly, and monthly sales metrics, identifying areas for improvement.

· Oversee the planning and execution of private events, ensuring that client expectations are met.

· Work closely with the kitchen, service, and operations teams to ensure flawless event delivery.

Qualifications:

• Education: Bachelor's degree in Hospitality Management, Business Administration, or related field (preferred but not required).
• Experience: Minimum 2 years of experience in a sales or supervisory role within the hospitality industry, preferably in a restaurant or catering environment.
• Skills: Excellent leadership, communication, and customer service skills. Strong knowledge of sales techniques, CRM software, and basic budgeting and reporting.

• Provide direct financial support to both Programming & Producing Department, in particular Venue Programming and Marketing and Communications departments. Including agreements, invoicing, payment, purchase orders, license applications, and venue bookings for VP; Monitoring and financial file management for P&P Marketing and Communications departments.
• Ensure that all administrative & financial matters within P&P and Marketing and Communications are delivered in a timely and professional manner. Including financial correspondence with our service, maintenance & equipment providers, if any, e.g. Cultural Medallion showcase.
• Retain and file all P&P and Marketing and Communications documentation relating to P&P and
• Marketing and Communications procurement process- such as approval papers, procurement, payment, licensing and all supporting documentation.
• Retain and file all contract, Finance & procurement documentation, etc for audit purposes.
• Track & monitor budgets and expenses for P&P and Marketing and Communications departments to ensure good financial governance and audit compliance.
• Generate purchase orders, maintain, track and improve financial and budgetary progress reports within P&P and Marketing and Communications.
• Assist the respective Department Managers in the preparation and documentation relating to long term financial planning within P&P and Marketing and Communications.
• To a contact point between the P&P, Marketing and Communications and AHL finance dept.
• Keep up to date with AHL procurement policies and actively disseminate this information throughout the P&P and Marketing and Communications departments.
• Monitor and administer P&P and Marketing and Communications dept. actual costs and expenditure.

Administrative Support

• Assist in producing and monitoring any departmental documentation and paperwork required for any internal or external auditing for P&P and Marketing and Communications.
• To ensure all P&P and Marketing and Communications departmental documentation is archived and stored in a systematic manner.
• Assist the respective Department Managers in the review and upkeep of all departmental resource documentation such as production coordinators handbook and departmental SOPs.
• Liaise with HR to recruit year-round interns for P&P and Marketing and Communications.

General duties

• Coordinate P&P and Marketing and Communications office requirements and liaise with HR, IT & Admin department with office requests, new staff orientation and workstation planning.
• Monitor and manage the booking of any communal P&P and Marketing and Communications office equipment such as laptops.
• To assist in the collation of a P&P and Marketing and Communications resource library and archiving of Marketing and Communications materials (physical and digital).

Others

• Prepare statutory forms/returns to ACRA and e-stamping of transfer forms with IRAS;
