The Transportation Operations Coordinator is responsible for  ensuring the smooth operation of our logistical activities by driving carrier and service provider performance through collaboration and coordination of processes, carriers, and facilities. Ensures performance and lowest cost transportation by analyzing company and customer needs, researching transportation methods and auditing carrier costs and performances.

Key Responsibilities:

• Build customer relationship and provide excellent customer service, understanding their needs and goals
• Identify and address issues that may impact customer satisfaction and work on solutions to improve the overall customer experience
• Manage the flow of goods and materials by coordinating with customers, 3pls, carriers, warehouses,  and other stakeholders to streamline the supply chain process to meet KPIs and OKRs as agreed to with the client, i.e OTIF
• Arrange transportation for shipments, considering factors such as cost, transit time, and mode of transport. Coordinate with freight forwarders, carriers, and haulage companies to schedule pickups and deliveries as and when required
• Drive carrier and service provider performance for the Hub and Spoke locations
• Responsible for transportation management of warehouse inbound and outbound activities, warehouse and trailer capacity management
• Support the collection and interpretation of data, provides data analytics to improve the transportation operational efficiency of their assigned warehouse location
• Coordinate and collaborate  with multiple parties including customer stakeholders, warehouses, carriers, service providers onsite team members to resolve any issues that may arise
• Serve as the main point of contact for internal departments, external vendors, and customers regarding logistics-related inquiries. Communicate shipment status updates and address any issues or concerns promptly
• Acts as a liaison between Google’s warehouse vendor and carrier
• Support domestic and international shipments as well as ensuring Google’s partner carriers are aware of requirements for warehouse operations and any critical shipments needing attention
• Monitor inbound and outbound deliveries ensuring it reaches destination as requested
• Proactively approach and resolve bottlenecks in the shipping and receiving processes
• Develop and monitor carrier KPIs and metrics for transportation analysis
• Identify and suggest corrective actions for ongoing delivery issues/opportunities and SOPs

Distribution Services Agent is responsible for supporting Supervisor to drive the growth of each product and service within the district as well as driving collaboration with the network. Distribution services agent at entry and lead agent level positions help to maintaining consistency an on-going pipeline of customers.

Tasks and Duties

 Perform all daily customer service activities and operations including order processing, documentation, shipping coordination, report management, invoicing/billing, and filing.

 Handle all customers’ feedback, requests, and complaints effectively and escalate/ report to superior accordingly.  Perform and dispatch all invoicing/billing to customer on time.

 Ensure accuracy and proper maintenance of inventory in systems.

 Collect and compile date for measurement of key performance indicators.

 Maintain a current and accurate procedures manual that details the processing requirements for each account.

 Maintain proper documentation of paperwork associated with orders and accounts.

 To take up additional tasks as required meeting the Department needs.

11. Respond to customer complaints and enquiries promptly (sense of urgency) and provide possible suggestions / solutions or assist with recovery actions whenever possible.

Provides functional subject matter expertise and anticipates customer's needs. Interface with multiple vendors and partners to gather and synthesize detailed business requirements.

Scope of Position: 
Providing most suitable solutions to customers by understanding their requirements and strategically selecting service providers while maximizing profitability. This position will involve activities relating to procurement, service provider management and sales/ business development.

Major Duties and Responsibilities:  

Operations

• Understand export processes in order to accurately identify requested scope of pricing and accurate pricing
• Understand and comply to company policies and accordance with government regulations.
• Timely responses to emails (within 24 hours) and voicemails (within 1 hour) (internal and external)
• Timely responds on day-to-day pricing enquiries and RFQs from external and internal customers
• Screening of MK denial parties before quoting
• Monitor and apply appropriate carrier contract per customer to maximize the shipment profitability
• Carrier allocation management per carrier against the weekly allocation report to ensure customer service uses the correct carriers and maximizing the profitability
• Assisting booking management – placing bookings with carrier, secure confirmation, verify cost from carriers against contract

Provide operational support and process export documentation (billing invoices, reports and airway bill) accurately and promptly to achieve OPS objective and meet airlines departure​​​ and helping branch in complying  with Customs and any other government agencies’ regulations.

• Process export documentation accurately and timely for customers and meet Customers/OPS requirements and Airlines flight departure cut-off.

• Ensure all documentations (billing invoices, reports, AWBs, etc.) are complete, scan in e.doc, properly indicated and accompany with shipments.

• Check that all shipments checklists are completed, scanned, filed, and attached with the shipments as per IATA rules and regulations.

• To meet all Pharmaceutical & Healthcare requirement as per GDP/GDPMDS regulations and directives as required.

• Complete DAYEND closing report at end of the day.

• Review shipment events data and shipment manifests are update timely and accurately to meet Operational Performance Audit objective.

• Ensure all shipments pre-alert documentations are send to customers and destination offices promptly.

• Co-ordinate with Airlines terminal and warehouse vendor staff for any shipment dispute, discrepancy etc.

• Communicate with customer service team on any issues pertaining to rates, destination, and shipping instruction errors.

• Provide 24 hrs service to include after office hours, holidays, and weekends for Urgent/Aircraft on Ground (AOG) shipments arrangements.

• Required to perform shift work and rostered duties.

• Declare all different types of AOG customers shipping permits compliance with customs rules and regulations.

Scope of Position: 

• Is responsible for ensuring that exports comply with customs regulations and law and meeting Expeditors expectations and requirements as outlined in Operations Performance Standards (OPS). Also work with Singapore Customs and control agencies and shippers to ensure documentation is complete to facilitate customs export declarations, Preferential Certificate of Origin (PCO) and Certificate of Origin (CO).

• Interact with our customers in processing their origin handling services for their ocean export shipments by following procedure set by the company in OPS, and meeting customer’s expectations. 
• Preparation & Updating of Internal/Customer SOP to ensure all customers’ requirements are in place.
• Ensure accurate and timely client and vendors billing for timely revenue recognition.
• Ensure permit(s) are approved prior to export from Singapore.

Job Purpose:

To plan and facilitate Expeditors in/outbound LCL transshipment consolidation program for economies of scale, control, and security.

1. Work closely with Team Lead to support strategic planning and initiatives to meet department goals.
2. Promote Singapore LCL Gateway with a goal of maximizing profit and volume growth.
3. To work closely with Singapore and Overseas Expeditors offices to plan and execute our LCL via Singapore Gateway timely and efficiently.
4. Process consolidation through Expeditors system which require data entry, and as per outlined in the operations SOP.

1. Declare all different types of shipping permits.
2. Applying Ordinary and Preferential Certification of Origin. (COO & PCO)
3. Coordinate with the respective departments on supporting documentation as required. Ensuring all documents are in accordance and timeline to provide approved customs entry declarations with help of pre-customs entry, checklist, Asia Customs SOP and pre-alert database.
4. Attend to customs enquiries and secure the permit approval.
5. To monitor and ensure all Cargo Manifest Declarations reports are submitted timely to Singapore Customs for both Import and Export permits transactions.
6. Creating file and preparing billing invoice. To ensure data accurate and timely billing to customers.
7. Generating essential customers’ or other reports as required.
8. Updating Asia Customs SOP with customers’ requirements and expectations.
9. Adhering compliance to Expeditors policy and expectations.
