Job Purpose:

• To provide administrative support to the vendor management team in managing and coordinating FPSO projects P80 and P83, ensuring timely delivery and efficient project management.

Key Responsibilities:

• Updating Procurement Map: Maintain and update procurement details for projects P80 and P83, ensuring data accuracy and timely reporting.
• Coordinating inspections: Liaise with package leads, logistics, QA, and commissioning teams to coordinate shipping schedules and track shipments.
• Data Entry: Accurately perform data entry tasks in systems such as SISPEN and PIMS, ensuring data integrity and timeliness.

Job Description

· Perform tasks involved with sourcing, purchasing and expediting of goods and services from suppliers, service provider and contractors.

· Attend daily requests for sourcing of goods and services under his / her portfolio from production and other users.

· Check and ensure purchase requisitions are complete and duly authorized before sending request for quotations (RFQ) to approved supplier and competitive sources

· Liaise with suppliers for quotations / proposals, conducts negotiation with suppliers, co-ordinate technical clarification / work scopes / schedules from suppliers / service providers with users where necessary.

· Prepare commercial bid evaluations for next level approvals for purchase confirmation.

Job Responsibility

• Assist the Section Manager in managing all work activities for the group of Sub-contractors, Supervisors and workers.
• Study repair or conversion requirements defined in the Specifications, inspect jobs at site and clarify requirements with the Yard’s Project Manager or Ship’s Officers.
• Coordinate closely with Section Manager / Yard’s Project Manager and Section Incharge in preparing the Work Plan/Schedule and manpower allocation plan.
• Delegate jobs to supervisors and coordinate with Section Manager to deploy the manpower required for the jobs in accordance to the planned manpower allocation plan.
• Identify and resolve problems encountered by the Supervisors and manage the coordination between the different trades and Sections.
• Coordinate with the shipyard personnel to align on the workplan/ schedules and any changes thereafter.
• Raise or approve Issue Passes for materials and equipment required for the jobs accordingly.
• Issue Foreman Order Chits to other relevant Sections / Shops.
• Provide details description and support document/drawings for scope of work to be carried out for raising Purchase Requisition and seek formal approval from the Section Manager / Assistant Section Manager for outsourcing/subcontracting the job to other subcontractor.
• Supervise and monitor closely of the work performed by sub-contractors to ensure that quality and workmanship conform to company standard.
• Track and report daily work progress to the Section Manager / Assistant Section Manager or the Yard’s Project Manager.
• Ensure that all safety procedures and regulations are complied with, including the application of work permits and the periodic checks on housekeeping and safety equipment used in his Section / Shop and onboard ships.
• Actively observe, monitor and train their subordinates within their capacity. Recommend relevant training courses for workers who require the necessary upgrading of skills.
• Inspect work done and obtain the Superintendent’s or Ship Officer’s / Engineer’s approval.
• Ensure that all legal requirements under the Singapore laws are complied with.
• Ensure that all standard operating procedures comply with specifications, quality standards, statutory and regulatory requirements.
