Job Description

1. Main Duty - Customer Service Duty (mindset has to meet the realist challenges and demands of a Primary School setting)
2. To answer phone calls, manage visitors, takes messages, responds to enquiries and provide general useful information (in a very dynamic environment where calls are volumous)
3. Able to use school implemented IT system for administrative purposes.
4. To handle daily varied demands and queries from parents/students/vendors/staff etc
5. To call pupils absentees and to check with parents on their child’s status every morning.
6. To call pupils to convey messages during ad-hoc / special events.
7. To render first level assistance to walk-in pupils’ needs including sick & injured pupils. To escalate case to other colleagues in the office immediately if it is beyond superficial cases.
8. To handle / support situation when pupils’ vomit, soiled their clothes.

General Duties

1. To assist in canteen matters, utility, FAS application, arrears fee, bus booking, etc
2. To help update the school activity notice board in the office (data accuracy is important)
3. To maintain the forms cabinet in the office. All forms must be current and to be replenished constantly.
4. To assist in general typing duties.
5. To assist in Stores supplies management during school holidays
6. To support any other general admin duties as and when required

Qualifications:

- Full GCE ‘N’, or ‘O’ Level certificate or its equivalent

Skills and experience:

- Good communication and inter-personal skills in reception duties, preferably in school environment

- Good team player with high level of initiative

Contract Period: From 02 Jan 2025 – 31 December 2025.

Option Period: From 01 Jan 2026 – 31 December 2026.

Personnel to be deployed at the following hours:

- Mondays to Fridays: 7:00am to 4:00pm, inclusive of 1/2hr lunch break

- Service not required on Saturdays, Sundays and gazetted public holidays

Reception

• Cover front desk customer service duties for Primary School and MOE Kindergarten.
• Answer phone calls, attend to walk-in visitors, takes messages, responds to enquiries and provide general useful information (in a dynamic environment where high calls volume can be expected during peak hours).
• Maintain customer related information when required, eg phone log.
• Communicate with teachers regarding parents’ feedback/ messages from phone calls or walk-in parents.
• Handle daily varied demands and queries from parents/ students/vendors/ staff etc.
• Render first level assistance to walk-in students’ needs including attending to sick and injured students, early dismissals. To escalate such cases to other colleagues in the office immediately if it is beyond superficial cases
• Handle/ support situation when student(s) vomited and soiled their clothes.
• Assist students in times of need, e.g. handling lost & found items, change of uniform, contacting teacher/ parent, locating classroom.
• Assist in receiving of goods and incoming mails.
• Maintain tidiness of the reception area at all times.

General Administration

•  Assist in the counting / sorting / packing / distribution of brochures or leaflets/items to the teachers and students.
• Assist in the dissemination of information: school circulars, parents’ messages.
• Inventory management of spare uniforms and first aid items.
• Assist with the updating of Organisational Chart when new staff joins, or resigning staff leaves.
• Assist with updating the attendance system on a daily basis, using the IT-enabled system of attendance tracking.
• Any other duties assigned by School Leaders, Administrative Managers (AM) or Operation Managers (OM), including supporting school key personnel as assigned by the AM.

Qualification:

 Minimum 3 GCE “N” Level Passes including English and Mother Tongue language.

Skills:

• Must be proficient in computer applications such as MS Word, MS Excel.
• Possess customer service oriented disposition with good interpersonal and communication skills.

Experience:

• Shall have at least 3 years of relevant experience in administrative role and/or front desk reception, preferably with prior working experience in an educational institution.
• Able to relate well with young children.

Contract Period: From 1 Jan 2025 to 31 Dec 2025 with an option to extend the Contract for a further period of 12 months.

Personnel to be deployed at the following hours:

- Mondays to Thursdays: 7:00am to 4:00pm, inclusive of 0.5 hr lunch break

- Fridays: 7:00am to 3:30pm, inclusive of 1 hr lunch break

- Service not required on Saturdays, Sundays and gazetted public holidays

Scope of work

• Handle telephone calls and inquiries from stakeholders

• Help with walk-in queries from students, parents and teachers

• Provide first-aid to students

• Assist with daily administrative duties such as documentation, data entry

• Pack brochures, booklets and souvenirs for staff and students

• Print worksheets and examination papers

• Any other ad hoc duties assigned by the school

Qualifications, skills and experience:

• GCE 'O' Level

• 3 years in administration

• Proficiency in Microsoft Office - Microsoft Word, Microsoft Excel

• Good communication skills and comfortable engaging stakeholders

• Ability to multitask with good time management

Contract Period: From 1 Jan 2025 to 31 Dec 2025 with an option to extend the contract for a further period of 1 year.

Personnel to be deployed at the following hours:

• Mondays and Wednesday: 8:30am to 5:30pm, inclusive of 30 minutes lunch break

• Tuesday and Thursday: 8:00am to 5:00pm, inclusive of 30 minutes lunch break

• Fridays: 9:00am to 5:30pm, inclusive of 30 minutes lunch break

• Service not required on Saturdays, Sundays and gazetted public holidays

The Personnel shall be able to interact and work with all staff in the school and be attentive to the students and parents.

Scope of work:

1. Front desk duties: answering of phone calls and walk-in enquiries from students, parents and vendors.
2. Attend to injured students.
3. Admin work: filing, counting and distributing of flyers and data entry using Microsoft applications - Excel, Word.
4. Able to keep calm and work under stress when the front-desk is crowded.
5. Attend to staff enquiries and requests.
6. Any other adhoc duties assigned by supervisors

Qualifications, skills and experience:

• passed “N” levels
• able to communicate well in English, and enjoy attending to children.
• 3 years working experience in administration in a school.
• ability to use Microsoft applications - Excel, Word.

Contract Period: From 1 Mar 2025 to 28 Feb 2026 with an option to extend the Contract for a further period of 1 year.

Scope of Work

• Manage the school’s reception counter and front desk support (e.g. handling enquiries, calls & walk-ins)
• Recording and distribution of mails
• Assist in general administrative and data entry duties (e.g. student early departure, student latecomers record, etc)
• Assist in stationery inventory management
• Assist in keypress management
• Any other duties assigned by the Authority

Qualification, Skill & Experience

1. Able to communicate and write in English competently.
2. Possess excellent customer service skills.
3. Meticulous, responsible and able to work independently
4. Familiar with Microsoft Office programs: MS Word, Excel, Powerpoint.
5. Minimum GCE ‘N’ level, NITEC or equivalent qualifications.
6. Minimum 2 years of relevant working experience in office administration functions or equivalent.
7. Candidates who have relevant working experience in a school setting will have an added advantage.

The Services required are set out as follows:

General Services

• Responsible for handling telephone and walk-in enquires/requests on school events and general school- related questions.

• Perform administrative duties for teaching staff and

supervisors

• Responsible for printing, filing, distributing and documenting

notes, circulars and correspondence

• Taking care of students at sickbay

• Any other work assigned by the Administration Manager

Qualification, Skill & Experience:

(i) Candidate’s experience working in primary schools

(ii) Relevant work experience in general administration and taking care

of primary school students

(iii) Familiar with Microsoft Office applications

(iv) Be conversant in English and Mandarin

(v) Provided good customer service to stakeholders
