Westport Partners is a Human Resources Consultancy that specialises in Talent Optimisation. We are looking for a highly energetic individual to join us to support the Group Managing Director.
Role: Executive Assistant
Reporting to the Group Managing Director, you will be responsible for organising and coordinating office operations and procedures in order to ensure organisational effectiveness and efficiency.
You will be the Executive Assistant of the Managing Director as well as responsible for supporting the day-to-day needs of the Singapore and Hong Kong offices and it's staff. You will ensure that all related operational, administrative, and logistical requirements are met.
Scope:
Finance
- responsible for payroll (including CPF), GST, management expenses
- handling online banking transactions
- liaising with the firm's accountants
- we will help train you in these areas
Office & Admin
- responsible for the upkeep of the entire office
- maintain office supplies (e.g. stationery, corporate gifts, pantry items, etc)
- coordinate & organise meetings & corporate events
- maintain office filing system
- record office expenditures and manage the budget
- ensure office policies, operating standards & procedures are in place and adhered to
- manage the reception (e.g. answer phone calls, receive guests, arrange meetings, etc)
- respond to customer enquiries and complaints
HR Administration
- update of policies, procedures & programmes
- maintenance of personal files & staff welfare
- overseeing the recruitment of new staff, sometimes including training and induction
- handle payroll, staff leave, renewals of insurance policies, staff claims
IT Administration
- assists in IT requirements (e.g. virus scan for server, set up new workstation & troubleshooting, etc)
- maintain OA / IT equipment & supplies
- manage IT service providers (e.g. internet, telephony, etc)
- manage projects as assigned (e.g. database management systems, etc)
Others
- assist in ad-hoc assignments when required (e.g. report preparation, business case presentation, marketing activities, etc)
The Successful Applicant
To be successful, ideally, you will be a recent graduate or have at least 2 years of experience in administration or office management. You are independent, have attention to detail and a sense of initiative. You are enthusiastic and possess a “can do” attitude. Excellent organisational, communication, interpersonal, problem-solving and decision-making abilities are a must. Dynamic, young hungry.
