Boutique international school is looking for an experienced, highly people-centered Administrative Executive, with a proven track record to grow the school's enrolments and to assist the Office Manager in managing day-to-day operations as well as to support the leadership team. Administrative Executive

The Administrative Executive works closely with the CEO, COO, Office Manager and leadership team to ensure the smooth running of daily operations and heads admissions efforts to grow student recruitment and enrolment. The candidate will also work in tandem with the Office Manager and Marketing department to increase brand awareness and take a pro-active approach to identifying business development and marketing opportunities.

Responsibilities:

● Act as first point of contact for any inquiries from prospective families

● Assist Office Manager in daily operations

● Assist Office Manager in maintaining Edutrust Manuals, standard operating procedures and relevant documentation in line with EduTrust requirements

● Provide and manage administrative support needed by the school

● Continually enhance the administrative systems and processes in the school in consultation with the Office Manager, CEO and/or leadership team

● Maintain and keep up to date all student information in school management system and hard copy student admin folders

● Maintain and keep up to date staff information on school management system and NAS

● Basic book-keeping

● Assist in invoicing and issuance of receipts

● Maintain office services by organising office operations and procedures

● Monitor and respond to parent/customer inquiries (during school term and when on holiday at least once per week)

● Assist prospective families in admissions process (start to finish)

● Create reports for submission to management (e.g., monthly staff attendance, admissions figures, etc.)

● Attend to front desk matters

● Maintain cleanliness and aesthetics of front desk, waiting area and admin room

● Maintain and keep up to date files, folders (whether digital or hard copy)

● Maintain or enhance the student administrative and learning support services

● Assist in update staff on changes in routine, events, information relating to students/parents/vendors/other day to day operations

● Liaise with the Quality Assurance Executive to ensure all standard operating policies and Edutrust documentation is accurately prepared and filed

● Maintain and update data for enquiries, applications, tours and events, monitor current school enrolment and potential joiners and leavers and provide monthly and annual data/stats

Qualifications and Skills Requirements:

● Minimum Bachelor’s degree in education/communication & marketing/business administration/HR and/or relevant fields

● Minimum 1 year of experience working in education admissions/sales/marketing

● Understanding of special education is highly desirable

● Experience working in a multi-cultural and international environment

● Excellent customer service skills

● Demonstrated success in student recruitment/sales and marketing

● Excellent communication and interpersonal skills

● Ability to take initiative to drive innovative and collaborative initiatives to contribute to the growth of the school

● Minimum 2-year commitment to the Company

Management

• Head the entire team at Eatz Group of Companies
• Planning and development of menus and recipes to maximise efficiencies, cost-effectiveness and whilst keeping bottom-lines healthy (Daily Menus, Special Occasions. etc)
• Advise management and ensure updated cooking technics, food-production processes to improve the overall productivity.
• Attend management meetings, plan daily briefings
• Attend to client’s feedbacks and communicate upwards to ensure a high level of staff satisfaction.
• Control and monitor the optimum food cost to yield the maximum amount of outlet profit and maximum guest satisfaction.
• Create exciting seasonal, trendy yet executable & sustainable menus, daily specials and promotional activities.

Kitchen Operations

• Handle overall kitchen operations in the central kitchens.
• Oversee service standards relating to catering, special large-scale events.
• Manage & ensure that inventory levels and quality by placing orders based on projected demand; and upon delivery, check to ensure quality of delivered supplies.
• Ensure safe operations and proper upkeep of all equipment.

Human Resource

• Lead by example a team of kitchen staff in planning & executing daily work in the central kitchen.
• Schedule and coordinate the work of chefs, cooks and other kitchen employees - staff management work schedule, leave arrangement, recruitment and others.
• Manages and trains the kitchen staffs effectively to ensure a well-organised and motivated team.

Quality & Health

• Ensure to meet the quality standards and presentation of all food items.
• Ensure the consistency in food quality of all the dishes and make sure that all dishes end products are quality-controlled for its taste, quality and safety and hygiene standards.
• Ensure consistent preparation during food production processes. Compliance with ISO22000 certification and Hygiene & Safety Regulations (HSE) set by the Government, the company.
• Perform any other related duties as assigned by the Directors and the COO.

Requirements

• Minimum 15 years’ experience of working experience of at least Head Chef (Catering Industry or Banqueting min >3,000 meals).
• Experience with Cook & Chill Cooking Methods and/or R&D experience would be an advantage.
• Strong leadership and organisational abilities with a mindset of being a mentor for the kitchen team.
• Positive with a can-do attitude with good communication skills.
• Ability to work flexible hours, including weekends, and holidays, as needed, 6-day work week.
• Possess WSQ Food Safety Course Level 1 certification. Possess higher food certifications would be an advantage.
• Able to learn and adapt swiftly. Computer literate and/or IT-savvy.

• Managing the company's accounts payable and accounts receivable functions.
