Job Responsibilities:

• Manage Purchase Orders and Invoices related to projects and Operations & Maintenance:

- Sourcing quotation

- Issuance of Purchase Orders, Purchase Requisitions

- Goods/service receipt documentation check

• Material supply planning and consolidation of project orders for Singapore and overseas subsidiaries
• Import and export documentation (AWB, BL, GST permits, Certificate of Origin, Packing list, Commercial invoice etc.)
• Logistics and warehousing planning
• Develop purchasing strategies to mitigate market challenges, e.g. Freight, commodity prices, supply shortage, etc
• Maintenance of project monitoring trackers and document control
• Preparing reports related to procurement activities
• Review supplier contracts to ensure compliance with company standards, negotiating favorable terms, and mitigating risks
• Analyzing completed projects to compare planned budget with actual costs, assess adherence to timelines, and identify areas for improvement.
• Support implementation and compliances of ISO 45001/9001) processes: e.g. new vendor qualifications, annual vendor performance evaluation, ABC, etc.
• Regular Inventory list update (office and warehouse stock)
• Support the company’s endeavor for Certification applications (EMA, EMC, BCA…)
• Engage in Solar PV industry seminars/trade shows to identify new products, innovation, trends that will aid in cost-down or improve asset performance

Job Requirement:

• Degree in Supply Chain/Business Management or equivalent with relevant end to end procurement experience
• Minimum 2 years’ experience in EPC, Engineering or Construction and Procurement/Supply-chain roles or any relevant industry
• Proven track record in Procurement, Project Controls, Supply chain management, Contracts and Office Administration, HSE and certifications
• Experience in project coordination and wholistic support functions
• Knowledge in import tax, custom duties, HS codes, FTA, logistic planning
• Knowledge of the Renewable Energy and Solar industry operations and materials will be an added advantage

Job Description & Requirements

Purpose: This position is responsible for facilitating the end-end sourcing process which includes reviewing the sourcing specifications, doing the preparatory groundwork for purchase or rental from external services / facilities providers and raise the Purchase Order (PO).

Essential Duties/ Responsibilities:

1. Lead the procurement process by reviewing sourcing specifications, sourcing suppliers, comparison of quotes, conducting background reference checks, and propose the best procurement option for the company.
2. Prepare and ensure Purchase Order is raised accurately and in a timely manner.
3. Work closely with budget owners, upload documents in the system.
4. Negotiate for favorable terms and pricing and obtain tax invoice before payment is processed.
5. Ensure deliverables are in line with the contract terms and provide weekly status updates.
6. Updating and maintaining records of all orders, payments and received stock.
7. Provide Management with data and reports related to purchasing activities.
8. Summarize data and prepare various reports on purchasing activities as well as cost analysis on different categories.
9. Work closely with Finance to make payments to suppliers in accordance with agreed terms.
10. Ensure compliance of procurement policy and seek approval as per Delegation of Authority Manual.
11. Establish sound relationships with suppliers, ensure lead times are met and expedite outstanding orders.

Position Requirements:

• Preferably a degree or diploma in business administration or relevant field.
• Minimum 3-4 years’ work experience in the field of Procurement Management/Supply Chain.
• Strong administrative skills, includes office management, record keeping and proficient in MS Office.
• Exceptional time-management and multitasking capabilities combined with organizational skills.
• Must be meticulous & pay attention to detail.
• Excellent verbal and written Communication.
• Ability to work under pressure and meet deadlines.
