Our client is a Water Treatment Industry. Due to their current expansion plan, they are looking for a Purchasing Assistant to join their team, in hopes of developing the current high performing team. They are located in the West.

Key Responsibilities:

• Manage data input, analytics, and maintenance of the Procurement Department’s electronic folders.
• Conduct clerical and administrative tasks within the Procurement Department.
• Assist and support the team with quotation and tender activities.
• Utilize internal Purchase Requisitions to identify and process purchase requirements, ensuring accurate information for the Purchase Order process.
• Monitor and expedite Purchase Orders with vendors.
• Communicate order status updates to internal stakeholders.
• Ensure proper filing and archiving of Vendor Registration documentation.
• Confirm goods receipt for Purchase Orders upon delivery.
• Perform additional duties as required, aligned with the role.

Requirements:

• Possess at least “O" Level or Diploma/ITE certification in Office Skills or equivalent.

Job Responsibilities

Procurement Operations and Data Maintenance

• Support the procurement end to end function and other relevant departments and communicate any supply problems which may impact on business operations. Act as an interface between suppliers and relevant departments on purchasing processes and new projects and activities.

• Maintain system integrity of supplier’s info in the ERP system, such as items suppliers connect, purchasing agreements and supplier basic data like MOQ, order multiple, purchasers responsible and supplier maintenance.

Sourcing

• Conduct business review meetings with key stakeholders to assess risk, review future strategies, and identify potential cost down, new programs and improvement opportunities or mitigate the risk.

• Create and review opportunities on alternative materials and or suppliers to meet the business unit objectives in procurement activities and deliver best values and business savings.

• Collaborating with quality team to understand company/s needs as well as work with our existing/new suppliers to determine company strategic alignment.

SNOP

• Understand the trend of raw material / feedstock related, update the information to commercial team, provide analysis on costs, new and cost savings activities. Develop strong partnership with suppliers.

• Monitor market trends, competitor strategies and market suppliers, provide analysis on costs, new and existing and review cost to achieve savings. Establish r/s with suppliers to leverage the needs in term on tight supply situation as well as to be ahead of the market requirement.

• Contribute and communicate the impact on Procurement activities to new business initiatives and projects. Involve in Global procurement project activities.

Vendor Management

• Assess and evaluate supplier’s performance reviews, compiling data relating to supplier performance to enable evaluation.

• To audit supplier supply capability and quality standard when required. Maintain proper documentation in accordance with ISO procedures.

Job Requirements:

• Degree Holders with at least 5 years of working experience in end to end procurement related field in manufacturing environment

• At least 5 year(s) of working experience in related field preferably in petrochemical or polymers related industry

• Possess strong sourcing and negotiation skills.

• Accountable team worker, proactive, problem solving and analytical abilities.

• Strong interpersonal and communication skills to work productively and collaboratively with multi-functional teams to achieve business goals.

• Candidates with good experience in petrochemical raw material commodity price trend analysis will be at advantage

• Identify, qualify, and select vendors of materials, equipment, products, or services, and conduct overall supplier management.
• Manage purchase requisitions/orders.
• Obtain quotes for various stores, spares, and services arrangement based on RFQ from vessels and vessel managers / operations teams.
• Ensure that all purchasing activities are carried out in accordance to the organisation’s purchasing guidelines and procedures.
• To establish framework agreements with suppliers and ensure relevant goods and services are purchased under such agreements whenever possible. Negotiate with suppliers to deliver best results for the company.
• Identify and implement standard procedures and guidelines for tracking purchasing costs, logistics, and shipping procedures.
• To conduct periodic vendors appraisals and price comparisons.
• Arrangement of servicing and services towards meeting Class requirements such as Class Annuals and other related services.
• Ensure that proper cost/benefits evaluations are made prior to bringing forward any recommendations.
• To oversee the entire purchasing documentation process and ensure quarterly cost reports are submitted.
• Oversee and ensure that all invoices are correctly matched to PO and DO. Ensure all invoices are checked and input of the relevant account codes on the invoices.
• Oversee and ensure that all invoices are approved by the relevant person and passed to accounts in a timely manner.
• Communication with clients for approvals incl. of checking and monitoring the status of various requisitions.
• Arrangement of freight to the vessel and ensuring spares /stores reach in time with regular follow-up.
• Provide suggestions and feedbacks for the improvement of the execution of tasks and working instructions.
• Undertake any ad-hoc duties and additional responsibilities as and when required.

Requirements and Experience: (Essential skills, qualifications, and experience)

• Previous experience of a minimum of 3 years undertaking procurement requirements and activities for vessels trading worldwide.
• Having worked in the maritime and shipping industry, either with ship management companies or ship owners as a Purchaser.
• An undersanding of the dynamics involved with purchasing requriements for vessels and their changing needs.
• Experience in managing logistics (delivery, supply chain) requirements for spares, and stores etc.
• Knowledge and experience of using purchasing systems for marine requirements.
• Ability to communicate timely, efficiently, and effectively.
